OFR is a leading fire engineering consultancy delivering complex and technically challenging projects across the UK and internationally. As our business continues to grow, we're looking for a highly organised and detail-oriented Project Administrator to join our Project Support team. 



This is an excellent opportunity for someone who enjoys working with systems, processes and project data, and wants to build a career within project coordination, operations or project management. 





The role:



As a Project Administrator, you will play a key role in supporting the successful delivery of projects across the business. Working closely with Project Managers, Fire Engineers, Finance and other support functions, you will help ensure projects are set up correctly, maintained accurately and administered efficiently throughout their lifecycle.  



You'll become a key user of our project management system (Synergy) and will help ensure project information remains accurateconsistent and up to date, enabling our teams to manage projects effectively and deliver excellent service to clients.  




About you:



We're looking for someone who is organisedproactive and enjoys working in a structured environment.  The successful candidate will be enthusiastic with a will to learn and develop their existing skills. You will have previous experience working in an office-based or similarly collaborative environment.



Essential Skills & Experience 



  • Excellent organisational and administration skills. 



  • Strong attention to detail and accuracy. 



  • Good written and verbal communication skills. 



  • Ability to manage multiple tasks and competing priorities. 



  • Confident using Microsoft Office, particularly Excel, Outlook and Teams. 



  • Professional and collaborative approach to working with colleagues at all levels.  



Desirable 



  • Previous experience in a project administration, project support, coordination or operations role. 



  • Experience using project management or ERP systems. 



  • Understanding of project lifecycles and project controls. 

  • Experience within a consultancy, engineering, construction or professional services environment.  





Responsibilities:





Project Setup & Administration 



  • Create and maintain bid and project records within our project management systems. 



  • Set up project stages, work packages, fee structures and templates. 



  • Ensure project information is entered accurately and consistently. 



  • Apply agreed naming conventions, standards and processes. 



  • Maintain project records throughout the project lifecycle.  



Project Support 



  • Assist Project Managers with project forecasts, schedules and project information updates. 



  • Support changes to project structures, programmes and resource allocations. 



  • Help prepare information for project reviews and performance meetings. 



  • Monitor data quality and identify discrepancies or missing information.  



Commercial & Financial Support 



  • Gather and maintain project billing information, client details, purchase orders and invoicing requirements. 



  • Support the accuracy of fee allocations and project financial data. 



  • Work closely with Finance and Project Managers to ensure project records support efficient invoicing processes. 



  • Assist with maintaining billing readiness across active projects.  



Systems & Process Support 



  • Assist colleagues with system and process-related queries. 



  • Maintain templates, trackers and supporting documentation. 



  • Promote consistent use of project management processes and systems. 



  • Highlight recurring issues and opportunities for improvement.  



Team Collaboration 



  • Act as a liaison between technical teams and support functions. 



  • Attend project reviews and internal meetings where . 



  • Provide general administrative support to the Project Support team. 

  • Contribute to a culture of continuous improvement and operational excellence.
