Job Description - Project Assistant



Overview / Responsibilities





Wood is looking for a Project Assistant to join our growing Project Management team.

 

In the role, you will support the Project Manager and Technical Lead to deliver projects safely, on time and within budget. Our projects are typically multidisciplinary technical projects of an environmental or engineering nature in the built environment and sustainable infrastructure sectors.

 

Key Responsibilities

 

The role will be varied depending on the nature of each project. Day to day tasks include but are not limited to:

  • Budget monitoring, forecasting and reporting
  • Preparing, requesting, checking and issuing client invoices
  • Monitoring and updating project schedules and progress against milestones
  • Preparing health and safety information for site visits and seeking necessary approvals
  • Scheduling meetings and taking minutes
  • Developing project management documentation including Project Execution Plans, risk registers and Quality Plans and ensuring they are kept live for the duration of projects
  • Information management activities
  • Administration of supplier contracts
  • Supporting bids for new work

The successful candidate will take a general interest in the nature of the work and understand how their contributions relate to the overall intent and successful delivery of the project.






Qualifications





 

Skills

 

The successful candidate will be:

  • Proactive and enthusiastic team player with a “can do” attitude who is helpful and takes pride in their work
  • Self-motivated individual able to use their own initiative to find the answers to questions posed. Once trained they will be expected to take ownership of regular project activities and deliver their inputs on time and to a high quality standard, without prompting from the Project Manager
  • An excellent communicator both orally and in writing – especially using the phone. Communication will be with both internal staff and clients
  • Organised and have exceptional time management skills. The role will involve working on multiple projects simultaneously, with different customers and multiple deadlines
  • Proficient in Microsoft Office, particularly Excel (knowledge of pivot tables in essential). Experience of Microsoft Project would be advantageous

 

 

Qualifications and Experience

 

Essential:

  • A-levels or equivalent including maths

Desirable:

  • Any project management qualifications eg APM Project Fundamentals or Project Controls
  • Previous experience working in a Project Environment

 

This is a family friendly role – part time working and flexible hours can be agreed.
