About the Company
Fetch Recruitment is delighted to be partnering with a premier, high-end residential painting, decorating, and property renovation specialist. Operating as a key sister company to an established, luxury bespoke housebuilding and construction group, they pride themselves on delivering flawless finishes and exceptional service across premium residential projects. Due to continued growth, they are seeking an organised and proactive Project Assistant to join their close-knit team based in Oxford.
The Role
As a Project Assistant, you will provide vital support to our construction and decorating teams across live projects, ranging from high-end new builds to detailed heritage restorations. You will act as the backbone of project administration, handling everything from project mobilisation, document control, and compliance to site meeting packs.
Working closely with the management team, project managers, and tradespeople, you will coordinate premium residential projects, ensure compliance standards are met, and maintain seamless operational flow across multiple active sites.
Key Responsibilities

Project Mobilisation & Document Control: Assist with setting up new project files, maintaining document control systems, preparing site meeting packs, and managing live project documentation.

Compliance & Site Support: Ensure project health and safety documents, subcontractor compliance records, and site packs are up to date and readily accessible for project managers.
*
Scheduling & Coordination: Coordinate diaries for project managers and decorators, schedule site visits, and align timelines across multiple simultaneous construction projects.
*
Supplier & Resource Management: Order materials, paint, and specialized equipment, track lead times, and manage ongoing relationships with key suppliers.
*
Financial & Administrative Support: Assist with preparing client quotes, processing invoices, tracking project expenses, and managing CRM updates and project correspondence.
*
Client & Stakeholder Relations: Act as a professional point of contact for enquiries from high-end residential clients, subcontractors, and site teams.
What We Are Looking For

Experience: Proven track record in project assistance, office administration, or site coordination. Experience within the construction, decorating, property, or heritage restoration sectors is strongly preferred.

Multitasking Ability: Comfort and confidence juggling multiple live projects at once with strong attention to detail.
*
Communication: Exceptional verbal and written communication skills with a polished, professional approach when dealing with clients and site teams.
*
IT Skills: Proficient in Microsoft Office (Excel, Word, Outlook). Familiarity with project scheduling, document control, or accounting software (e.g., Xero, QuickBooks) is a strong advantage.

Attitude: A proactive, self-motivated individual who thrives in a collaborative environment and takes initiative to keep projects moving on schedule.
