Job Overview
As a Project Assistant within our Water team, you will provide administrative and organisational support to our Project Manager(s) and Project Coordinator(s), helping to ensure that projects are well organised, accurately documented and effectively supported throughout their lifecycle. The role will be primarily focused on project administration, maintaining accurate records, preparing reports, managing documentation, updating systems and supporting the Project Manager and Project Coordinator with the day-to-day administration required to keep projects running effectively. You will work closely with Project Managers and Project Coordinators, providing reliable administrative support and ensuring that project information is accurate, accessible and up to date.
Key Areas of Responsibility
* Provide day-to-day administrative support to Project Manager and Project Coordinator.
* Maintain project documentation, including project plans, schedules, scopes and supporting documents.
* Assist with the preparation of project status reports and management information.
* Update CRM systems and internal project management systems.
* Maintain accurate records of project activity, progress and outcomes.
* Assist with compiling project performance and water savings information.
* Prepare and organise information required for client meetings and internal reviews.
Key Tasks
* Create, update and maintain project trackers and spreadsheets.
* Maintain accurate project records within the CRM and other internal systems.
* Prepare regular project reports using information provided by the Project Manager and wider team.
* Collate project data and information for reporting purposes.
* Maintain project documentation, ensuring the latest versions are correctly filed and accessible.
* Organise project folders and ensure documentation is maintained in a clear and consistent format.
* Prepare meeting packs, reports and supporting documentation for Project Manager meetings.
* Assist with the preparation of client reports and presentations.
* Maintain records of client correspondence and key project communications.
* Assist with invoice administration, including collating supporting information and checking records.
Qualifications, Certification and Licences
* Proficiency with Microsoft OƯice, particularly Excel, Word and Outlook.
* Experience using CRM or project management systems is desirable.
* Previous administrative, project administration or office-based experience is desirable.
* Ability to conduct basic data analysis.
* Previous experience within a project environment is desirable but not essential.
