Job Description - Project Finance and Systems Coordinator
Utopian Professional Recruitment are delighted to be supporting our centrally based Edinburgh client with their continued growth. The Project Finance & Systems Coordinator plays a key role in enhancing financial visibility, consistency and control across many projects.
Acting as a bridge between project managers, departmental leads and the finance team, this role ensures projects are set -up accurately, tracked consistently and reviewed proactively. The coordinator will help identify early signs of financial risk (e.g overspend, unclaimed variations, excessive WIP) and support improvements to systems and processes that underpin project reporting and profitability
Your key responsibilities will include:
Ensure projects in CMAP are set -up accurately and consistently, capturing all relevant information, fee structures and client details.
Support Project Managers with fee invoice generation.
Record external contractor invoices and SERs in CMAP and ensure they are scheduled for client billing.
Create and maintain KPI reporting from CMAP.
Contribute to ongoing system improvements.
Review new projects in CMAP to ensure consistent set up and correctly completed fields
Update CMAP for project changes (e.g novation, billing client changes, adding client PO numbers).
Review project scope adjustments in CMAP and ensure clients are notified.
Prepare draft invoicing in CMAP ahead of month -end for Project Managers to review.
Record outside contractor invoices and SERs in CMAP, scheduling billing in line with original quotes.
Track client POs, verifying alignment with original fee proposals and terms.
Support month -end staff expense claims processing.
Download and cross -check SERs against credit card payments.
Produce monthly KPI reports for Project Managers.
Identify and report patterns or root causes of project financial underperformance or risk.
Contribute to CMAP template development to enable further automation.
Support the implementation of a PO system and virtual credit card integration.
Perform ad hoc administrative duties as required.
Ensure timely and accurate data entry and reporting.
Keep the Financial Controller and Senior Finance Assistant informed of any issues.
Follow company QA and H&S standards relevant to the role.
To be considered for this opportunity, our client requires the following background / experience:
Strong understanding of project administration, reporting and invoicing
Experience using project and or financial management systems
Strong analytical and communication skills
Ability to liaise with others at all levels
Highly organised with excellent attention to detail
