Job Description - Property Administrator

We are seeking a dedicated Property Coordinator to play a crucial role within our organisation. Working closely with the Property Director, this position serves as a vital link between field operations and various head office departments. The role is particularly critical from mid-July to mid-October, our busiest period, ensuring accurate and up-to-date management of our property portfolio.

Day-to-day of the role:
  • Gather and analyse previous year's data on store performance, including sales, rents, and other costs, and prepare a contribution analysis per store.
  • Prepare summaries by landlord and update all relevant reports for the upcoming season.
  • Maintain the new database with stores ready for the next season.
  • Provide administrative support to the Property Director, including sending emails, making offers, and following up on phone calls.
  • Liaise with the Property Director, agents, TMS, solicitors, landlords, and head office staff regarding the legal status of all properties, including opening and closing dates.
  • Monitor store trading days against targets and manage store budgets based on information from the Property Director.
  • Send out weekly updates to the company on the latest property information.
  • Handle rent payments sign-off for the accounts department and prepare end-of-year turnover certificates.
Required Skills & Qualifications:
  • Exceptional attention to detail and accuracy.
  • Strong communication skills; proficiency in making phone calls as the primary form of communication, supplemented by emails for follow-ups.
  • Good numeracy and Excel skills for managing store budgets and rents.
  • Articulate with a high level of comprehension, spelling, and grammar, essential for dealing with solicitors and landlords.
