Job Description - Property Administrator

About the Role

Ezzi is seeking a highly organised and customer-focused Property Administrator to support the day-to-day administration of our property portfolio. This role is responsible for handling enquiries from tenants and landlords, coordinating maintenance and compliance, managing documentation, and ensuring all property-related administration is completed accurately and efficiently.

The ideal candidate will be an excellent communicator with strong organisational skills, capable of managing multiple tasks in a fast-paced environment while delivering outstanding customer service.

Key Responsibilities

* Answer incoming calls, emails, and messages from tenants, landlords, and contractors.

* Act as the first point of contact, triaging maintenance issues and directing enquiries to the appropriate team or contractor.

* Coordinate and book repairs, inspections, compliance visits, and contractor appointments.

* Monitor and update maintenance jobs, ensuring timely completion and keeping all parties informed.

* Handle tenant and landlord complaints professionally and ensure they are logged, monitored, and resolved promptly.

* Maintain accurate property records and update internal systems.

* Manage property compliance by monitoring expiry dates and arranging required certificates, including:

* Gas Safety Certificates

* Electrical Installation Condition Reports (EICR)

* Energy Performance Certificates (EPC)

* Smoke and Carbon Monoxide Alarm compliance

* Other statutory property compliance requirements

* Ensure all compliance documentation is received, recorded, and filed correctly.

* Liaise with landlords, tenants, contractors, and utility providers as required.

* Support the wider property team with general administrative duties.

* Assist with organising schedules, appointments, and property inspections.

* Participate in an on-call rota to assist with emergency property issues outside normal working hours, where required.

Skills & Experience

Previous experience in an administrative or customer service role (property experience is desirable but not essential).

Excellent telephone manner and written communication skills.

Strong organisational and time-management skills with the ability to prioritise workload.

Good attention to detail and accuracy.

Confident using Microsoft Office database or property management systems.

Ability to remain calm and professional when handling complaints or urgent issues.

Ability to work independently as well as part of a team.
