Job Description

The Quote Proposal Manager is responsible for leading the development, coordination, and submission of high-quality proposals and quotes in response to client requests. This role serves as the central point of contact for proposal activities, ensuring timely delivery of compelling, compliant submissions that effectively communicate our value proposition and competitive advantages.

Key Responsibilities

Proposal Development & Management The Quote Proposal Manager oversees the end-to-end proposal process, from initial opportunity assessment through final submission. This includes developing proposal strategies, creating content plans, coordinating with subject matter experts across multiple disciplines, and ensuring all deliverables meet quality standards and client requirements. The role requires managing multiple concurrent proposals with varying deadlines and complexity levels.

Stakeholder Coordination This position serves as the primarily with the technical team, and operations team. The Quote Proposal Manager facilitates kick off meetings, maintains regular communication with the client and the operations team.

Pricing & Commercial Terms The Quote Proposal Manager collaborates with pricing and finance teams to develop competitive commercial proposals, ensuring accurate cost estimates, clear pricing structures, and appropriate risk allocation. This includes reviewing contractual terms, identifying potential issues, and coordinating necessary approvals.

Process Improvement & Knowledge Management This position continuously refines proposal processes, templates, and best practices to improve efficiency and win rates. The Quote Proposal Manager maintains proposal libraries, captures lessons learned, and implements tools and systems that enhance team productivity.

Technical Skills Proficiency with Microsoft Office Suite, particularly Word, Excel, and PowerPoint, with advanced formatting and document production capabilities. Experience with proposal management software, CRM systems, and collaboration platforms. Strong project management skills with ability to manage multiple deadlines simultaneously.

Communication & Writing Exceptional written and verbal communication skills with demonstrated ability to synthesize complex technical information into clear, persuasive narratives. Strong editing and proofreading capabilities with attention to detail and commitment to producing error-free deliverables.

Preferred Qualifications

Certification from Association of Proposal Management Professionals (APMP) or similar credential. Experience in commercial real estate, facilities management, or property services industry. Familiarity with Salesforce or similar CRM platforms. Background in graphic design or experience working with creative teams on proposal production.
