Salary: £28,000 - £30,000 + equity

Location: London - 5 days on site

About the Role:

We’re looking for a detail-oriented and process-driven Document Centre Associate to join the Lawhive team. As a core member of our Document Centre Team, you'll play a vital role in ensuring the smooth handling and processing of incoming physical documents and the preparation and dispatch of sensitive, high-value client documents. Additionally, you’ll help provide ad-hoc support to our Lawyer Support team as required.

This role is designed for a driven individual, a recent graduate or early-career professional, who wants to build a career in a fast-paced environment. Success in this position offers significant scope for growth within the Document Centre or into other operational or legal support roles across the company. You will be instrumental in supporting our Lawyer Support team, becoming a foundational expert in the systems that enable the future of law.

Please note: This exciting role requires you to be in our central London office 5-days per week.

What You’ll Be Doing:

You will be entrusted with managing the flow of sensitive information, upholding the highest standards of security and efficiency for our legal practice:

  • Secure Intake & Processing: Lead the opening, reviewing, and processing of all incoming mail and parcels delivered to our central London headquarters.

  • Digital Transformation: Carefully scan all physical documents and contents into our internal software system, driving the digitisation of our legal practice.

  • System Organisation: Implement a process-first approach to file organisation, ensuring documents are ready for instant retrieval.

  • Operational Excellence: Assist with essential mailroom duties, including coordinating courier deliveries and managing secure document destruction, maintaining a high-security environment.

  • Direct Legal Support: Work closely with our Lawyer Support team, providing assistance as required.

  • Project Assistance: Provide occasional support for small-scale printing, posting, and copying tasks, directly contributing to live legal matters.

  • Championing Security: Act as a guardian of sensitive client data, ensuring all documents are handled with the highest level of care, security, and confidentiality at all times.

Requirements:

  • A high level of diligence, with a process-first approach to tasks and an ability to follow clear procedures and processes to perform services to a high standard and meet key deadlines.

  • Strong organisation and problem-solving skills with a sharp eye for detail.

  • A team-first attitude with a willingness to adapt and support colleagues as needed.

  • Previous experience in a mail room, scanning, or document management role is a plus but not essential.

  • Comfortable working in a physical office environment and performing hands-on tasks.
