Our client specialises in the sale, hire and servicing of industrial, agricultural and forestry machinery. Supplying both new and used equipment across sectors including recycling, construction and quarrying, the business is continuing to grow and is now looking for an organised and proactive individual to support its busy sales office and management team.
The Role
This is a varied position combining office management, sales administration and executive support. You will play a key role in ensuring the office runs efficiently while providing day-to-day assistance to the Managing Director, directors and managers.
Key Responsibilities
Organise the office and provide administrative support to directors and managers. Manage the Managing Director’s diary, meetings and appointments. Book travel, accommodation and flights when required. Prepare quotations for clients. Monitor shared email inboxes and distribute or forward correspondence. Answer incoming calls and take accurate, detailed messages. Manage incoming post and distribute it to the appropriate departments. Log tenders, download relevant information and maintain accurate server records. Create, edit and update spreadsheets. Complete general clerical duties, including filing and archiving paperwork. Match invoices against proof-of-delivery documentation. Scan, photocopy, print, file and bind documents. Take dictation and prepare emails and other communications for the Managing Director. Welcome visitors and ensure they receive a professional first impression. Prepare meeting rooms and arrange refreshments when required. Monitor stationery levels and place orders as necessary. Undertake other reasonable duties assigned by the directors or management team. About You
Previous experience in office management, sales administration or a similar senior administrative role. Highly organised, with the ability to manage a varied workload and changing priorities. Confident supporting senior directors and managers. Strong written and verbal communication skills. Excellent attention to detail and accuracy. Proficient in Microsoft Office, particularly Word, Excel and Outlook. Professional and confident when dealing with clients, visitors and colleagues. Proactive, dependable and comfortable working independently. Experience preparing quotations or supporting a sales team would be advantageous.
