Job Description - Scheduling Administrator

We’re recruiting a Scheduling Administrator on behalf of a well-established fire and security company based in High Wycombe. You’ll play a vital role in supporting a busy engineering team by coordinating appointments, managing systems, and ensuring smooth daily operations.

Key Responsibilities:
  • Coordinate engineer and subcontractor appointments, ensuring correct durations and clear communication with all parties.

  • Maintain up-to-date booking statuses on the service management system and engineer Outlook calendars.

  • Enter appointment dates into relevant customer portals.

  • Prepare and send RAMS, booking forms, and permits for scheduled visits.

  • Complete the weekly Call Statistics Report by Friday close of business, working to specific KPI targets.

  • Align PM/PPM bookings with service work at the same site.

  • Raise call actions and permits, issue order acknowledgements, and booking confirmations to customers.

  • Process accepted quotes and raise calls accordingly.

  • Communicate with parts ordering teams to ensure job completion.

  • Keep CRM and customer records accurate and up to date, with clear notes on all calls.

  • Respond to all emails within 8 working hours.

  • Provide cover for the customer service team and inbox as needed.

  • Answer calls promptly (within 3 rings) and manage reception duties, including escorting engineers.

  • Ensure timely and clear internal communication.

Requirements:
  • Excellent organisational and communication skills

  • Ability to manage multiple priorities and deadlines

  • Confident with CRM systems and Microsoft Outlook

  • Previous experience in scheduling, coordination or administrative support (ideally within engineering or field services)

  • Proactive, team-oriented, and professional approach
