Job Description - Talent Acquisition EA
Fast-growing, international law firm seeks a Talent Acquisition EA for their expanding HR and L&D function. This non-transactional EA role will provide EA support to the Global Head of Talent Acquisition, as well as assisting the wider Lateral Partner Recruitment team.
Salary of £48,000 per annum with generous range of flexible benefits
Hybrid working pattern of 3 days in office, 2 remote
Dual role, providing EA support to Global Head of TA and assisting with Partner recruitment.
Our client is looking for a proactive, ambitious and highly competent Executive Assistant who can support their Head of Talent Acquisition in range of complex tasks, projects and diary management. They must also be highly organised with meticulous attention to detail as they will be responsible for supporting the partner interview scheduling and admin processes, mainly using Excel and their ATS.
Key Responsibilities of the Talent Acquisition EA:
EA Support to Global Head of Talent Acquisition
Extensive complex diary management, including across multiple time zones and with various different forms of IT infrastructure
Liaising regularly to identify work commitments, prioritising workloads accordingly
Preparation for all meetings, following up and coordinating all meeting actions, including any necessary follow-up communications
Travel arrangements including arranging visas, booking travel and accommodation, arranging currency, preparing itineraries
Develop and maintain a file management system for all electronic and hard copy correspondence and documents
Administrative tasks including photocopying, printing, scanning, organising post and couriers, etc.
Lateral Partner Recruitment Administration Management
Own and manage lateral partner recruitment related administrative tasks (including diary management, arranging interviews, administering candidate tests and producing packs)
Manage the relevant recruitment calendar and recruitment inbox
Liaise proactively with candidates, agencies, hiring managers of all levels etc. in arranging candidate interviews or video conferences
Manage the scheduling and rescheduling of interviews
Manage the sending and tracking of partner agency terms of business
Maintain the integrity of databases updating candidate statuses and feedback, adhering to GDPR requirements around storage of candidate data
Assist the Lateral Partner Recruitment team with secretarial duties
Produce the monthly management report information using Excel and the recruitment system
Complete expense re-claim forms in a timely and accurate manner
Process invoices; assist with budget management
Keep departmental information up to date – for example relevant internet pages, guides and other marketing materials
Key Skills and Experience of the Talent Acquisition EA:
Relevant experience in an EA/PA, HR or recruitment role, with strong diary management experience critical
Advanced Microsoft Office skills to include Excel, Word and PowerPoint
Numerate and able to create, generate, and ideally interpret reports and spreadsheets
Able to handle sensitive situations and information confidentially and discreetly
Confident and professional manner with the ability to build strong relationships and excellent communication skills
Reliable, hardworking, able to work to tight deadlines and to remain calm when under pressure
