PURPOSE
To support the delivery of our unified (i.e. Basketball England and the British Basketball Federation) talent system and liaise with all stakeholders (e.g. players, parents, clubs, etc) as the initial point of contact to ensure effective operation and coordination.
Scheduling of all talent activity, coordinating event logistics, administration related to coaching, club input and the broader workforce.
Effective communication with all partners, talent staff, Regional Talent Managers and organisations.
To support the Talent Programme and Pathway Manager whilst working closely alongside the BE Customer Service Team.
KEY ACCOUNTABILITIES
Pathway Administration: Own the master Talent Calendar, booking venues, officials and support services for Aspire, ETP and EDP. Maintain CRM records, selection data, consent forms and safeguarding documentation.
Event & Camp Logistics: Plan and deliver end-to-end logistics (travel, accommodation, equipment, medical cover) for camps, trials and tournaments in the UK and overseas. Produce detailed run sheets and risk assessments, act as on-site lead in support of the Talent Programme and Pathway Manager.
Volunteer & Workforce Support: Coordinate recruitment, briefing and expense processing for coaches, team managers, medics and officials. Track mandatory qualifications (DBS, safeguarding, first aid).
Communication & Customer Service: Issue timely joining instructions, schedules and updates to players, parents, clubs and staff. Serve as first line support for all Talent Pathways queries via phone and shared inbox.
Governance & Compliance: Ensure adherence to BE policies (EDI, safeguarding, Anti-Doping, Finance, etc). Monitor Aspire budgets, raise POs and reconcile event costs with the Head of Talent for BE.
Continuous Improvement: Collect feedback and compile post event reports; contribute admin insights to pathway reviews.
OPERATIONAL ACCOUNTABILITIES
Project Delivery: To deliver the requirements of specific time-limited Talent programme projects.
Communications: Delivery of frequent key messages and ongoing communications with all internal and external partners.
Decision Making: Ability to make appropriate operational decisions to meet the programme objectives in liaison with the Talent and Programme & Pathway Manager and other teams across the business.
Marketing Support:
To provide briefs and quality information to support the required campaign, marketing, communications and PR for the portfolio of programmes and related events.
Service Delivery: To coordinate the operational delivery of required services ensuring they are effective and fit for purpose to deliver our programmes successfully.
Governance, Risk & Compliance:
Abide by all of Basketball England’s rules, regulations and policies (including but not limited to, Equal Opportunities & Equity Policy; Safeguarding Policy; Code of Ethics & Conduct; Anti-Doping, Anti-Betting, Anti-Corruption and Confidentiality).
RELATIONSHIP MANAGEMENT
Internal - Customer Service, Finance, Safeguarding: Ensure seamless data flow and timely information sharing; accurately reconcile payments and refunds; uphold all safeguarding, EDI, GDPR and H&S policies in every interaction.
Talent Workforce - Camp Directors, Coaches, Officials, Volunteers: Provide clear briefs and timelines; coordinate logistics (travel, accommodation, kit, tech); create a positive, professional event experience and feedback loop for continuous improvement.
External - Venues, Travel Partners, Regional Associations, Accommodations: Manage Aspire/ETP contracts; monitor service delivery against agreed standards; nurture long-term, value-adding partnerships that support year-round programme delivery.
