Spire Liverpool Hospital has an exciting opportunity for an organised, proactive and customer-focused Theatre Scheduler to join our experienced team on a full-time basis for a 12-month fixed-term contract.

As Theatre Scheduler, you will play a key role in the daily planning and coordination of theatre activity. You will ensure theatre schedules are accurate, up to date and organised effectively, while providing an excellent administrative and customer service function for patients, consultants, medical secretaries and colleagues across the hospital.

Working hours

You will work 37.5 hours per week, primarily:

• Monday to Friday


• 9:00am to 5:00pm

Some flexibility may be required to support the changing needs of the department and the hospital.

Salary: £24,882 per annum

Your role

Reporting to the Capacity Manager, you will be responsible for the day-to-day organisation of theatre schedules. You will review theatre lists for accuracy, maintain the Outlook diary and work collaboratively with consultants, medical secretaries and the Theatre team to ensure that schedules are fit for purpose.

You will also act as a first point of contact for the department, ensuring that enquiries received by telephone, email or in person are handled professionally, efficiently and by the most appropriate person. 

Duties and responsibilities

Your responsibilities will include:

• Reviewing theatre lists and booking forms to ensure information is complete, accurate and listed correctly


• Maintaining and updating the theatre Outlook diary


• Coordinating short-notice cancellations and completing the associated administration


• Working with the Capacity Manager to allocate ad-hoc theatre sessions


• Acting as a first point of contact for consultants and their medical secretaries


• Developing positive and effective working relationships with consultants, secretaries and the wider Theatre team


• Scheduling anaesthetists for ad-hoc theatre lists and lists without a substantive anaesthetist


• Liaising with the Theatre Kit Coordinator regarding equipment, kits and prosthesis requirements


• Identifying procedures that require additional, loaned, specialist or bespoke equipment and liaising with the Theatre team


• Supporting hospital capacity and theatre planning meetings


• Maintaining accurate theatre records and ensuring information is archived promptly


• Processing timesheet information using the appropriate IT system


• Supporting departmental quality and compliance processes

Who we are looking for

The successful candidate will have:

• Previous experience in an administrative support role


• Experience of working independently and using their own initiative


• The ability to organise and prioritise a varied workload


• Experience of working to deadlines in a busy environment


• Strong customer service and communication skills


• Excellent attention to detail and a commitment to maintaining high standards


• Confidence using Microsoft Office, including databases, email and diary systems


• Strong written, verbal and telephone communication skills


• The ability to work collaboratively with colleagues and a range of internal and external stakeholders


• A flexible and proactive approach to duties and working arrangements


• The ability to handle confidential and sensitive information appropriately


• A professional, approachable and patient-focused manner

Previous experience within a hospital or healthcare environment would be advantageous but is not essential. An ECDL or other relevant IT qualification would also be desirable.
