We’re looking for a Therapies Administrator to join our Outpatient Therapies Team based at HCA UK at The Shard. The Outpatient Therapies team plays a vital role in supporting patients throughout their rehabilitation and recovery journey. Working closely with physiotherapists and the wider multidisciplinary team, the department provides high-quality outpatient therapy services while delivering an exceptional patient experience. As a Therapies Administrator, you’ll be at the centre of the department’s daily operations, ensuring referrals, appointments and patient communications are managed efficiently, helping clinicians focus on delivering outstanding patient care.

As a Therapies Administrator, you’ll provide comprehensive administrative support to the Therapies Department, acting as a key point of contact for patients, consultants, GP practices and colleagues. From managing referrals and coordinating appointments to supporting revenue capture processes and maintaining accurate records, you'll play an important role in ensuring the smooth and effective running of the service. This is an excellent opportunity for an organised and customer-focused administrator who enjoys working in a fast-paced healthcare environment where no two days are the same and where your contribution directly supports positive patient outcomes.

What you’ll do:

• Manage patient referrals, ensuring timely communication with patients, referrers and clinicians
• Coordinate appointments, monitor clinician diaries and maximise utilisation of available clinic capacity
• Provide professional administrative and secretarial support, including handling correspondence, reports and patient documentation
• Manage therapy records requests in line with GDPR requirements and maintain accurate patient records
• Support departmental operations through charge auditing, reporting, stock management and stakeholder communication

What you’ll bring:

• Previous administrative experience within a healthcare, hospital or clinical environment
• Strong organisational skills with the ability to manage multiple priorities and work accurately under pressure
• Excellent customer service and communication skills, both written and verbal
• Experience managing appointments, referrals or diary coordination
• Proficiency in Microsoft Office applications and general administrative systems
