Coats Recruitment’s Client, a leader in the logistics sector, is hiring for a Tracking & Administration Coordinator (Nights) to join their team. If you are a highly organised, strong communicator who works well under pressure, this could be the perfect role for you.
Role OverviewAs a Tracking & Administration Coordinator, you will be responsible for overseeing the smooth tracking and documentation of shipments, ensuring that all logistics operations are effectively managed. You’ll work closely with customers, subcontractors, and internal teams to ensure seamless service delivery, while maintaining accurate records and upholding high standards of communication.
Key Responsibilities:Tracking & Admin:
Input orders onto the system and track shipments (road and air).
Quote for shipments and liaise with customs for necessary documentation.
Track shipments across borders and ensure correct paperwork for EU shipments.
Customer Engagement & Communication:
Keep customers informed on job progress and build strong relationships.
Collaborate with internal teams (Operations, Warehouse, Accounts) to ensure smooth operations.
Handle issues and escalate when necessary, maintaining customer satisfaction.
Documentation & Job Completion:
Close out job files by obtaining proof of delivery (POD) and other required documents.
Ensure jobs are completed on the system and checked prior to invoicing.
Maintain accurate filing and scanning of documents onto the system.
Team Collaboration:
Communicate effectively with the warehouse regarding returns and outgoing loads.
Ensure data integrity and housekeeping within the system.
Experience & Skills:
Proficient in MS Office, email, spreadsheets, and databases.
Strong numeracy and literacy skills.
Prior experience in administration or customer service (logistics is an advantage).
Ability to multitask and stay organized under pressure.
Personal Competencies:
Strong communication and relationship-building skills.
Proactive, solution-oriented with a keen eye for detail.
Self-motivated with the ability to work independently.
Flexible and adaptable with a team-oriented mindset.
Qualifications:
Minimum of 5 GCSEs (or equivalent).
A second language is a plus but not required.
Competitive salary of £31,460 per annum.
25 days holiday + bank holidays (pro-rata).
