Job Title: Travel and Transport Administrator

Location: John Radcliffe, Headley Way, Headington, Oxford, OX3 9DU

Hours: 37.5 hours per week –Monday – Friday 9.00am – 5.00pm

Trust Location: East Suffolk & North Essex NHS Foundation Trust

Role type: Temporary for 2 months with possibility of extension

Reference: 90063

Duties to include but not limited to:

* To research, gather, review/analyse various types of data and information, then compile this appropriately to inform projects and papers

* Under the guidance of Line Manager, support the drafting of papers, processes and policies required by the Travel and Transport Team.

* To understand and apply the Staff Travel and Car Parking Policy for the John Radcliffe, Churchill Hospital, Horton Hospital, and Nuffield Orthopaedic Centre hospital sites in conjunction with our PFI partners.

* To apply the policy for the purpose of ensuring eligibility of applicants, obtain evidence to support or decline applications and to check validity against criteria. To process applications on the parking management system from start to finish and ad hoc adjustments such a new vehicle registration number.

* To communicate with Parking Permit Applicants using expert customer care skills.

* To make decisions on behalf of the Trust relating to implementation, further action or cancellation of the conditions of the Parking Charge Notices liaising with the Senior Travel and Transport Manager (who will line manage this post) when necessary.

* To manage the Travel and Transport communal in boxes. Triage, respond and escalate all queries and ensure turnaround times are met in a timely way. A new ANPR parking system is in place and the ANPR inbox will be a priority. This includes providing consistent advice to staff and patients and liaising with colleagues across the Trust as well as Parking Management Contractor.

* To produce accurate correspondence and documents, often on the post-holder’s own initiative ensuring information is relevant, clear, timely and of a high standard.

* Undertake general administration tasks such as making bookings, organisation of meetings and other tasks suitable to the role and as required by the travel and transport team

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

You’ll learn the following whilst working at the trust:

1. An in depth understanding of the roles and responsibilities involved in working within the NHS

2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times

3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You’ll have the following skills/experience:

* IT Qualifications/Microsoft Office (Excel, Teams, Outlook)

* Ability to collect and analyse data

* Must be proficient with Outlook and have excellent communication and customer service skills.

* Must be proficient with Excel and confident in reviewing, investigating and presenting data.

* Must be fluent in English to a high level both verbal and written.
