Job Description - Trust Administration / Assistant Manager (Single Family Office) (Guernsey, Channel Islands)

Our client is a highly regarded single family office in Guernsey that supports the long-term preservation and growth of wealth across multiple generations of an UHNW family. The office oversees a diverse mix of trust and corporate structures that hold investments, private equity interests, real estate and philanthropic assets across a range of jurisdictions.

This role suits an aspiring trust professional - likely at Trust Administrator or Assistant Manager level - who wants broader exposure, closer client contact and to work in-house for an UHNW family which is rare and unique. You will learn from experienced practitioners in a collaborative, low-turnover environment where high standards and discretion come first.

Role Overview

As Trust Administrator / Assistant Manager you will support the day-to-day administration of a complex private client portfolio and help ensure records, governance and regulatory obligations are fully maintained. You will work closely with senior colleagues, external advisers and - as you develop - family principals, gaining rounded experience across trusts, companies and related entities.

Key Responsibilities

  • Assist with the administration of a varied portfolio of trust and company structures, including discretionary trusts, underlying companies and, where relevant, foundations.

  • Maintain accurate records, statutory files and client due diligence (KYC/CDD) information in line with policy and regulation.

  • Prepare routine trustee and board documentation including agendas, draft minutes, simple resolutions and standard correspondence for review.

  • Arrange and record payments, investments, distributions, capital calls and other transactions across multiple jurisdictions, escalating where sign-off is required.

  • Liaise with banks, investment managers, legal advisers, tax advisers and other service providers under the guidance of senior staff.

  • Collate information for the preparation of financial statements and management reporting; coordinate with in-house accounting teams and external auditors.

  • Monitor diary/action lists to ensure regulatory and statutory deadlines are met (eg GFSC filings, FATCA/CRS reporting) with support from Compliance.

  • Keep database and document management systems up to date, ensuring version control and audit trails.

  • Contribute to process improvements and the adoption of digital tools within the administration function.

  • Depending on experience, review the work of more junior administrators and provide guidance.

  • Identify and escalate complex, unusual or high-risk matters promptly to senior management.

Candidate Profile
  • c1-5 years experience in trust and company administration, fiduciary services or a closely related private client function.

  • Progression toward (or interest in) STEP Certificate/Diploma, CGI/ICSA or equivalent professional qualification. Support will be provided.

  • Working knowledge of Guernsey trust and company law and regulatory requirements, or willingness and aptitude to learn quickly.

  • Strong organisational skills with a disciplined approach to record keeping and documentation.

  • High attention to detail and accuracy in numerical and written work.

  • Discreet, professional and comfortable handling confidential UHNW family information.

  • Confident communicator - written and verbal - with the ability to build relationships internally and with external advisers.

  • Competent user of Microsoft Office and trust administration systems.

  • Team-oriented, reliable and willing to roll sleeves up in a small office environment.
