Department: Volunteer and Competitor Development
Location: Motorsport UK, Bicester Motion.
Hours of Work: Full Time (37.5 hours per week). Core hours are 09:00 until 17:30, Mon – Fri.
Line Manager: Volunteer and Competitor Development Director
Direct Reports: None.
Grade: B
Salary: £24,000-£26,000
Primary Objectives
General administrative support for the Volunteer & Competitor Development Team answering emails and telephone calls from members and escalating to other members of the team as appropriate.
To support the team with administrative duties.
To carry out the administration and logistics of event planning and organising for the Volunteer and Competitor Development Teams.
Additional Responsibilities
Ensure administration of training events is completed in a timely manner for venue logistics, joining instructions, risk assessments, evaluations forms, post event statistics and expense claims
Generate reports and collate data to enable the Volunteer & Competitor Development Team to monitor projects, programmes and community demographics
Data input for all relevant spreadsheets that inform the Dashboards which are used for day to day monitoring and for reporting to The Board and other Committees
Calendar management – workshops, training events, webinars – identifying pinch points
Logistics and admin support in relation to Recruitment, Recognition & Retention programmes
Providing administrative support services for relevant meetings, working/advisory groups and committees.
Assist in the creation and distribution of bulletins/newsletters to our volunteer and competitor communities
Assist with the creation of Purchase Orders and update the transactions spreadsheet as needed
Assisting the with the creation of training and resource materials and programmes for our Staff, Trainers and Volunteer communities
Undertake the administration of the Qualsafe and 1st4 Sport Awards and any other centre administration that might be required
Core Competencies
Excellent written communication skills
Ability to work with spreadsheets for the purpose of budget management and data analysis as well as the ability to create visual outputs for data clarity
An eye for detail to ensure high quality standards in all documents produced
Intermediate skills in Microsoft packages especially Excel, Word and PowerPoint
Logical thinking and follow through
Ability to maintain schedules, prioritise tasks and meet deadlines within a busy, continuously moving working environment.
Essentials
Full UK Driving License
Ability to commute daily to Bicester office.
