About the role
We are looking for a highly organised and detail focused Work Order & Revenue Assurance Administrator to join a busy and fast paced operation in Doncaster.
The Work Order & Revenue Assurance Administrator will be responsible for building service claims, warranty claims and customer recharges from completed work orders. The role requires someone who can review repair and service information, understand what work and costs are chargeable, and ensure all relevant revenue is accurately captured.
This is more than a traditional administration role. As a Work Order & Revenue Assurance Administrator, you will work with completed work orders, labour, parts, subcontractor costs and associated charges to build accurate claims and customer recharges. You will identify missing information, investigate discrepancies and work closely with operational, workshop, finance and customer service teams to resolve issues.
The role would suit an experienced Work Order & Revenue Assurance Administrator with a background in warranty claims, service claims, customer recharges, repair charging, job costing or a similar commercial service environment. Experience within fleet management, vehicle maintenance, engineering, transport or automotive environments would be highly advantageous.
The position is initially offered on a 12 month fixed term contract, with the potential to become permanent during or following the contract, subject to business requirements, performance and suitability.
Key responsibilities
• Build service claims from completed repair and work order information.
• Build and process warranty claims for eligible repairs and maintenance work.
• Create accurate customer recharges for chargeable repairs and services.
• Review completed repair and service information to determine which work and costs should be charged.
• Accurately capture labour, parts, subcontractor and ancillary charges.
• Review completed work orders to ensure all chargeable work has been identified and included.
• Investigate missing information, discrepancies and incorrect charges.
• Liaise with operational and workshop teams to obtain missing information and resolve outstanding queries.
• Ensure claims and customer recharges are accurately prepared and submitted within required timescales.
• Reconcile completed work against customer authorisations, purchase orders and contractual requirements where applicable.
• Maintain accurate records across business management and ERP systems.
• Work closely with operational, workshop, finance and customer service teams.
• Produce reports highlighting claims, recharges, billing issues, data exceptions and revenue recovery opportunities.
• Identify opportunities to improve revenue capture and reduce missed or incorrect charges.
• Support continuous improvement initiatives relating to service claims, warranty claims, customer charging and revenue assurance.
Skills and experience required
Essential
• Previous experience building service claims, warranty claims, customer recharges or similar repair and service charges.
• Experience reviewing completed repair or service work and determining the appropriate charges.
• Previous experience within an administration, service, warranty, claims, charging or revenue focused role.
• Strong understanding of labour, parts and associated costs within a service, repair or maintenance environment.
• Excellent attention to detail with the ability to identify missing information, discrepancies and incorrect charges.
• Strong numerical and analytical skills.
• Experience using business systems, databases or ERP platforms.
• Excellent organisational skills with the ability to manage multiple priorities and deadlines.
• Confident using Microsoft Excel, including lookups, reporting and data analysis.
• Strong written and verbal communication skills.
• High level of numeracy and commercial awareness.
• Ability to work independently while building positive working relationships across departments.
Desirable
• Experience within fleet management, vehicle maintenance, engineering, transport or automotive environments.
• Previous experience dealing with vehicle warranty claims.
• Experience creating customer recharges for repair and maintenance work.
• Knowledge of work orders, job costing, purchase orders and customer authorisations.
• Experience using Dynamics 365 or a similar ERP or business management system.
• Understanding of revenue assurance, cost allocation and operational reporting.
