City Hospice is dedicated to providing compassionate care and support to our patients and their families. We are seeking a dedicated and organised Clinical Administrative Assistant to join our team. This role is crucial in ensuring the smooth operation of our clinical services and providing administrative support to our healthcare professionals.

Job Purpose:

Reporting to the Hospice Practice Manager, the Clinical Administrative Assistant will be responsible for receiving patient referrals, liaising with the Clinical Nurse Specialist (CNS) team, and performing a variety of clinical administrative duties. This role involves data entry, updating patient information, ordering supplies, and supporting the Hospice Practice Manager and Data Analyst.

Key Responsibilities:

  • Receive and process patient referrals, liaising with the CNS team.
  • Perform clinical administrative duties for consultants as needed.
  • Input data into the CANSIC database, including new referrals and patient notes.
  • Maintain and update statistical information on Excel spreadsheets.
  • Order clinical supplies and manage inventory.
  • Conduct filing and general administrative tasks.
  • Assist the Data Analyst with information required for reporting.
  • Support the Hospice Practice Manager in the absence of the Hospice Administrator.
  • Take meeting minutes and coordinate Multi-Disciplinary Team (MDT) meetings.

Skills and Qualifications:

  • Proven interpersonal and communication skills.
  • Numerate and literate with strong organisational skills.
  • Polite, respectful, and supportive attitude, especially when dealing with vulnerable patients.
  • Ability to follow guidelines and policies and use judgment in advising clinical colleagues on patient issues.
  • Experience in planning and organising clinics and patient-related activities.
  • Maintain confidentiality of patient information.
  • Comply with incident reporting procedures.
  • Contribute to policy and procedure development.
  • Report defective equipment and observe duty of care when using equipment.
  • Provide guidance to new staff members.
  • Keep up to date with hospice information and adhere to policies and procedures.
  • Participate in staff surveys and research activities as required.
  • Work independently, managing and prioritising workload.
  • Handle difficult and challenging interactions with patients and relatives compassionately and professionally.
  • Adapt to a busy office environment with varying noise levels.

Working Conditions:

  • Office environment that can become busy, with increased external noise volumes.
  • Emotional resilience to handle distressing situations involving patients and relatives.
  • Mental concentration required for safe driving when necessary.
