This is an exciting opportunity for a recent graduate or someone at the start of their marketing career to gain hands-on experience supporting the delivery of large-scale industry events and conferences. As an Events & Marketing Assistant, you’ll play a key role in coordinating event logistics, supporting event operations, contributing to event marketing activities, and helping ensure a smooth experience for attendees, speakers, and internal teams. The successful candidate will also support social media content strategy for events and other marketing related content. This role offers fantastic exposure to event marketing, digital marketing, social media and cross-functional collaboration, making it an ideal first step into a marketing career. Please note this is a temporary role for 3 months.
What you'll be doing
Social Media & Event Promotion
Support LinkedIn content related to events, sponsorships and speaking slots.
Assist with pre-event promotional posts.
Create post-event “wrap-up” social posts.
Use Figma and LinkedIn to support content creation.
Event & Team Logistics
Coordinate hotel room bookings including managing room blocks and ensuring all team members and customer speakers are accounted for.
Maintain up-to-date tracking of hotel allocations and overall numbers.
Support coordination of group transport (buses, shared Ubers, etc.) based on flight schedules.
Assist with venue logistics including food & beverage selections for conference days.
Support evening event coordination (venues, transport, event details for apps/microsites and customer communications).
Provide general logistics support such as restaurant bookings for customer networking events.
Registration & Attendee Management
Maintain and update a master registration spreadsheet, adding daily registrations from CrowdComms.
Create and manage name badge files for printing.
Print name badges and manage name badge ordering.
Track event attendance requirements in collaboration with the Event Marketing Lead.
Register team members for events as required.
Event Materials, Merchandise & Gifting
Lead the branded shirt project for our customer conference end-to-end:
Work with designers on multiple design options
Source suitable vendors (UK, US, Austria)
Determine quantities and size breakdowns
Plan distribution at events
Source and organise event merchandise, giveaways and gifts (e.g. pens, stickers, flight tags)
Manage merchandise orders and shipments to event venues
Source speaker gifts and prizes for innovation or customer contests
Coordinate lanyard designs and ordering, including colour-coding by product track
Presentations & Content Support
Update team training presentation decks from previous years.
Format customer contest presentations using branded templates.
Finalise presentation decks, including ordering, formatting, title slides and connector slides.
Ensure presentations follow the agreed running order and session flow.
Industry Events & Booth Support
Support booth and furniture orders for industry events.
Ensure business cards, marketing collateral and materials are supplied for events.
What we’re looking for
Strong organisational skills with excellent attention to detail
Comfortable managing spreadsheets and keeping information accurate and up to date
Confident coordinating multiple tasks and deadlines at the same time
