Job Description - Accounts Assistant

Accounts Assistant
  • Location: North Norfolk
  • Salary: £12.85 - £13.86 per hour (depending on experience)
  • Job Type: Part-time, Temporary with potential to go permanent
  • Office-based

We are currently recruiting on behalf of our client for an Accounts Assistant. This role is an excellent opportunity for an individual looking to contribute to the financial efficiency of a dynamic team. The position is part-time and offers flexibility in working arrangements, with the potential to become permanent.

Day-to-day of the role:
  • Accurately post all purchase invoices to the accounting system manually and through the use of the company’s accounts-payable automation software.
  • Ensure all invoices are fully authorized at the appropriate amount/level according to the company's financial control policies and procedures.
  • Ensure all VAT posted is done in a fully HMRC-compliant fashion.
  • Advise the bookkeeper of any requests for immediate payment.
  • Reconcile all supplier statements received with the company’s purchase ledgers, chasing copies of missing invoices and identifying and resolving supplier errors.
  • Accurately export credit card payments to our accounting software using the company’s corporate credit-card platform.
  • Ensure all VAT posted in the process is fully HMRC-compliant.
  • Ensure all expenditure made by the credit card holders is entirely legitimate and for business purposes only. Alert the Bookkeeper and Financial Controller where there may be any doubt.
  • Manually process self-employed marine crew’s purchase invoices, checking against the crew members' previous billing, crewing records, and with the Operations team.
  • Manually process employed and self-employed staff and crew expenses claims, checking for legitimacy and any duplication.
  • Scan all hard copy expenses claims and purchase invoices to the network ready for processing.
  • Assist the bookkeeper in scanning all authorization paperwork to the network in a clear, organized, and up-to-date fashion using correct nomenclature.
  • Serve as the first point of contact for the finance team, answering the telephone and forwarding generic email correspondence to either the Bookkeeper or Financial Controller as appropriate.
Required Skills & Qualifications:
  • Experience in accounts payable and general finance administrative duties.
  • Familiarity with accounting software and strong computer skills.
  • Excellent attention to detail and the ability to maintain high levels of accuracy.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Good communication skills and the ability to work as part of a team.
