Job Description - Operations Administrator

Operations Administrator
Part-Time – 25 Hours per Week
Salary on 25 hours per week £18,281 + DOE (FT equivalent £27,000)
Location: Northampton – Site-Based

A well-established and customer-focused building contractor is looking for a reliable and organised Operations Administrator to support their busy team in Northampton.
They are a warm, family-run business with a strong sense of camaraderie, where collaboration and exceptional service are truly at the core of their culture.
This is a varied and hands-on role requiring someone who enjoys working at the heart of operations and thrives in a fast-paced, multi-tasking environment. The company is committed to delivering a seamless journey across all projects, with a strong emphasis on innovation and excellence in customer service.
Key Responsibilities:
  • Supporting daily operational activities including managing emails and phone enquiries from customers, suppliers, and contractors
  • Handling sensitive financial data, uploading invoices to Xero, reconciling bank transactions, and setting up planned payments
  • Opening supplier/customer accounts on Xero and liaising with customers regarding unpaid invoices
  • Coordinating job bookings, ordering materials, and managing site coordination such as permits and MOT bookings.
  • Providing day-to-day administrative support to projects, including data entry, updating client portals, and allocating PO numbers
  • Liaising with contractors out on jobs and ensuring records such as risk assessments and H&S documentation are up to date.
  • Managing incoming enquiries via a central phone line and company text message service
  • Communicating with homeowners, tenants, and suppliers to ensure smooth project delivery

  • Highly organised and methodical, with the ability to manage multiple tasks simultaneously.
  • Strong communication skills and the confidence to build rapport with a range of stakeholders.
  • Discreet and professional when handling financial and client information.
  • Proactive, solutions-focused approach to day-to-day challenges
  • Enjoys variety and thrives in a busy, operational environment.
  • Confident using systems like Xero (desired but not essential)
  • A team player who wants to contribute meaningfully to a close-knit business
