Job Description - Commercial Interiors Order Manager ProjectSpec / Khameleon (Remote)

About the Role


We are seeking an experienced Commercial Interiors Order Manager to manage the full lifecycle of furniture orders—from approved specifications through acknowledgment and delivery. This role is designed for professionals with hands-on experience on the dealer or manufacturer side of the commercial furniture industry.


The ideal candidate has direct experience using ProjectSpec, Khameleon, or similar ERP and specification tools, and is comfortable coordinating with designers, project managers, manufacturers, reps, and internal teams to ensure orders are accurate, complete, and delivered on time.


Key Responsibilities


Order Management & Entry



  • Convert approved quotes and specifications into accurate customer orders and purchase orders

  • Enter and process orders using ProjectSpec and/or Khameleon as primary tools

  • Verify product specifications, finishes, SKUs, COM/COL requirements, pricing, and discounts prior to submission

  • Ensure timely PO placement and track orders from submission through acknowledgment and shipment


Specification & Project Documentation



  • Interpret and work from specifications created in ProjectSpec, ProjectMatrix, CET, or similar systems

  • Maintain organized project folders containing POs, acknowledgments, submittals, approvals, and change orders

  • Update internal systems (Khameleon, CORE, Acumatica, etc.) with order data, shipping details, and changes

  • Support designers and project managers by reviewing line items for completeness and accuracy prior to ordering


Vendor & Dealer Coordination



  • Communicate with manufacturers, reps, and vendors regarding pricing, availability, lead times, and shipping

  • Resolve discrepancies between purchase orders and acknowledgments, including pricing, quantities, finishes, and model numbers

  • Provide clear and timely order status updates to internal teams

  • Track orders through the full lifecycle: quote → PO → acknowledgment → shipping → delivery


Quality Control & Issue Resolution



  • Identify and correct errors in specifications, finishes, quantities, pricing, and COM/COL details

  • Proactively flag missing information or risks that may impact lead times, accuracy, or installation

  • Maintain accurate order and shipping data across all systems and project documentation

  • Assist with resolving issues related to damages, backorders, returns, or re-orders in coordination with vendors and internal teams


Qualifications


Experience




  • 2–5 years of experience in commercial interiors, dealer operations, manufacturer support, project coordination, or order management




Technical Skills (Must Have)



  • Hands-on experience using ProjectSpec and/or Khameleon for order building and processing

  • Experience with at least one related platform such as ProjectMatrix, CET, Hedberg, CORE, Acumatica, or equivalent systems


Industry Knowledge



  • Strong understanding of commercial interiors products, SKUs, finishes, COM/COL, and dealer/manufacturer workflows

  • Familiarity with budget quotes, pricing validation, margin awareness, and order acknowledgments


Communication & Coordination



  • Clear, professional communication with vendors, designers, reps, and project managers

  • Ability to manage multiple orders and projects simultaneously in a fast-paced environment


Organizational Skills



  • Exceptional attention to detail and accuracy

  • Strong organizational skills with the ability to keep multiple timelines aligned


Nice to Have



  • Experience with SAP, CORE, Acumatica, or other ERP/order management systems

  • Familiarity with major commercial interiors brands such as Herman Miller, Haworth, Steelcase, Teknion, Knoll, Allsteel, HON, and similar
