Job Description - Operations Manager

Operations Manager – Wambaw Facility



The Operations Manager is responsible for running the day-to-day production workflow at Heirloom’s Wambaw facility. This role ensures customer media is handled with precision, projects move through the pipeline efficiently, and the production team operates smoothly.



This is an ideal role for someone who enjoys leading a small team, improving processes, working with technology, and maintaining extremely high quality standards.



Key Responsibilities


Facility Operations



  • Oversee daily operations at the Wambaw digitization facility

  • Ensure projects move efficiently through intake, digitization, quality control, and delivery

  • Maintain organized production workflows and tracking systems

  • Coordinate project priorities to meet customer timelines


Team Leadership



  • Supervise and support digitization technicians and production staff

  • Provide training on equipment, quality standards, and workflows

  • Foster a positive, mission-driven work environment

  • Ensure staff follow best practices for handling irreplaceable media


Production Management



  • Monitor daily production metrics and throughput

  • Maintain detailed tracking of customer projects

  • Identify workflow improvements that increase efficiency and quality

  • Ensure consistent adherence to Heirloom’s digitization standards


Quality Assurance



  • Perform final quality checks on digitized media

  • Ensure files meet company standards before customer delivery

  • Maintain strict handling procedures for fragile and irreplaceable materials


Equipment & Facility Management



  • Maintain scanners, digitization equipment, and production workstations

  • Coordinate maintenance and troubleshooting when necessary

  • Ensure the facility remains clean, organized, and secure


Customer Project Coordination



  • Work closely with customer service and leadership to ensure excellent client outcomes

  • Help resolve production challenges or special project requirements

  • Support transparency in project progress and delivery timelines



Qualifications


Ideal candidates will have:



  • Strong organizational and operational leadership skills

  • Experience managing production workflows or operations

  • Ability to lead and motivate a small team

  • Strong attention to detail and quality control

  • Comfort working with digital files, scanners, and media equipment

  • Excellent communication and problem-solving skills



Bonus experience:



  • Media digitization or archival work

  • Production facility management

  • Logistics or operations leadership

  • Experience working with sensitive or irreplaceable materials
