Job Description - People & Culture Seasonal Associate

Summary of Position: The Seasonal People and Culture (P&C) Associate will support the After School Matters’ People and Culture (P&C) department with of a variety of essential administrative tasks. Through job shadowing, the P&C Associate will be able to gain insight and provide feedback on process and provide recommendations for improvements. This P&C Associate will support the P&C Director and P&C Partner with daily PC operations such as onboarding, compliance, data tracking and reporting. The Associate will also have the opportunity to assist with conducting research on pertinent topics to help the department continue to promote a positive, engaging, and inclusive work environment. 

We are only seeking summer seasonal support. During the summer, the Associate will focus on pre and post program activities, such as document preparation, data-entry, I9 processing and verification, event set-up and breakdown, and other functions.


Major Duties and Responsibilities:

  • Process and review the completion and verification of Form I-9 for new hires, including verifying identity and employment authorization documents.
  • Maintain, organize, and secure filing systems for I-9 forms in accordance with federal regulations.
  • Assist with responding to inquiries regarding Smart Sheet, and Contact Us form.
  • Assist with entering data in Cityspan and E-verify to ensure completion of employment eligibility
  • Prepare, set up, and clean up for the I-9 verification document collections
  • General administrative tasks including: filing documents, sending out reminders, preparing and sending notices to staff and/or new hires, etc.
  • Developing constructive and cooperative working relationships with staff and others, and maintaining them over time.

Knowledge, Skills and Abilities:
  • Proficiency in Microsoft Office (Excel, Word, Outlook) is required
  • Experience with analyzing data and creating reports using Microsoft Excel is required
  • Excellent oral and written communication skills
  • Commitment to providing respectful and empathetic customer service
  • Keen eye for detail
  • Ability to work with diverse groups of individuals
  • Personable team player
  • Ability to work independently and in a collaborative setting
  • Experience using ADP Workforce Now, CitySpan, and E-verify is a plus
  • Problem solving skills
  • Comfortable problem solving in fast pace enviroment and high volume requests

Qualifications:
  • Interest in exploring various domains of Human Resources (People and Culture) by mastering key administrative tasks
  • High school diploma or GED required
  • Must have some professional work experience in the related field


Compensation: $20 / hour

Currently, After School Matters’ annual operating budget is approximately $35M and employs approximately 500 staff across the organization.
