Per Diem Client Service Coordinator

SAGE San Francisco is looking for a Client Service Coordinator to join our team on a per diem basis, picking up shifts as needed. Key Responsibilities:

• Client Interaction: Welcome clients and their pets, ensuring a positive and supportive experience
• Appointment Management: Schedule and coordinate appointments, procedures, and clinic operations
• Communication: Answer phone calls, respond to emails, and provide service information
• Record Keeping: Maintain accurate client and patient records while ensuring confidentiality
• Check-In & Check-Out: Process client paperwork, verify information, and handle payments
• Billing: Assist with calculating fees, processing payments, and invoicing
• Client Education: Provide pet care information and answer general questions
• Facility Maintenance: Keep the reception area organized and welcoming
• Team Collaboration: Work closely with veterinary staff to ensure seamless operations
• Emergency Response: Handle urgent situations calmly, directing clients appropriately
• Problem Solving: Address client concerns with professionalism, escalating as needed

• High school diploma or equivalent
• 1+ years of customer service experience (veterinary hospital experience preferred)
• 1+ years of hospitality experience (creating a welcoming and professional environment for clients)
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
• Ability to type 45+ WPM and use a 10-key calculator
• Comfortable entering data into medical records with accuracy and efficiency

• Strong customer service and communication skills
• Warm, professional, and compassionate demeanor
• Organized, adaptable, and able to multitask in a fast-paced environment
• Problem-solver with discretion and attention to confidentiality
• Basic computer skills and willingness to learn veterinary software
• Prior veterinary or customer service experience is a plus, but a positive attitude and eagerness to learn matter most
