Project Assistant - Facilities & Construction
ProCo LLC, a Medical Service Organization, is seeking a Project Assistant with construction and facilities experience to support our facilities team in managing our growing portfolio of 24 medical locations across Metro Atlanta. This role will focus on project coordination, task management, and administrative support to ensure our facilities managers can concentrate on strategic initiatives that support our mission of delivering exceptional patient care.
The ideal candidate brings construction or facilities management experience, exceptional organizational skills, and thrives in a detail-oriented environment where accurate project tracking directly impacts our ability to maintain world-class medical facilities.
Key Responsibilities
Project Coordination & Management
· Create and maintain comprehensive task lists for all facilities projects across ProCo's 24 locations
· Track project timelines, milestones, and deliverables to ensure on-schedule completion
· Schedule and coordinate contractor meetings, site visits, and vendor appointments
· Maintain detailed project documentation, status reports, and progress tracking
· Develop and implement checklists and tracking systems to support facilities team efficiency
· Coordinate inspections, compliance reviews, and regulatory requirements
Vendor & Contractor Management
· Serve as primary point of contact for scheduling contractor meetings and site visits
· Coordinate vendor appointments across multiple locations
· Track vendor performance and maintain contractor documentation
· Support facilities managers in vendor relationship management
· Ensure proper documentation of all contractor activities and compliance requirements
Administrative & Documentation Support
· Provide comprehensive administrative support to facilities managers
· Organize and maintain project files, documentation, and compliance records
· Prepare detailed reports and project updates for leadership team
· Handle permit tracking and regulatory compliance documentation
· Coordinate internal meetings and maintain facilities team calendar
· Support budget tracking and vendor payment processing
Executive Support
· Provide administrative support to company leadership as needed for facilities-related initiatives
· Assist with preparation of facilities presentations and executive reports
· Support strategic facilities planning and documentation
Qualifications & Skills
Required
· 3+ years of experience in construction, facilities management, or property management
· Strong understanding of construction processes, terminology, and project workflows
· Proven experience working with contractors, vendors, and building operations
· Excellent organizational skills with ability to manage multiple priorities simultaneously
· Proficiency with project management software (Smartsheet, Procore, or similar platforms)
· Advanced proficiency in Microsoft Office Suite, particularly Excel and Project
· Strong written and verbal communication skills with excellent follow-through
· Detail-oriented approach with commitment to accuracy in documentation
Preferred
· Experience managing multiple construction projects in healthcare or commercial environments
· Knowledge of building systems, maintenance procedures, and healthcare facility requirements
· Background in commercial real estate or property management
· Familiarity with regulatory compliance and permit processes in healthcare settings
· Experience with facilities management in multi-location organizations
· Understanding of medical facility requirements and patient care environment needs
