Why We Need You


The Projects Officer plays a central role in the Advancement Division, serving as a connector across internal teams, the President’s Office, and the Board of Trustees. This role combines strong project management, communication, and relationship-building skills to ensure Advancement initiatives run smoothly and reflect the professionalism and mission of the Museum. The Projects Officer carries a small donor portfolio, serves as Board liaison, and provides critical support to the Vice President of Advancement. 


What You’ll Accomplish 



  • Strengthen board engagement and communication: Serve as the primary liaison to the Board of Advisors for Advancement-related matters, ensuring timely communication of updates, meeting materials, and follow-up actions. Maintain consistent and professional correspondence, escalating issues or opportunities to the VP of Advancement as appropriate.

  • Drive donor stewardship and engagement: Manage a portfolio of donors, cultivating and stewarding relationships through personalized communication, timely follow-up, and thoughtful engagement opportunities.

  • Advance collaboration with the President’s Office: Serve as the Advancement liaison to the President’s Office, ensuring donor-related communications, thank-yous, and meeting follow-up materials are accurate, timely, and on brand. Coordinate logistics for meetings involving the President and key donors. 

  • Support Advancement communications and proposals: Draft, edit, and coordinate proposals, acknowledgments, and briefings that reflect the Museum’s strategic priorities and tone. Partner with frontline fundraisers to ensure they are fully prepared for donor meetings and events. 

  • Provide executive and operational support to the Vice President of Advancement: Anticipate needs, manage priorities, and ensure the VP’s work with internal and external stakeholders is efficient, organized, and impactful. Support scheduling, prep materials, and follow-up related to key Advancement initiatives. 

  • Enhance cross-team coordination and project execution: Proactively identify process improvements and opportunities to streamline communication across teams. Support Advancement projects that advance donor engagement, stewardship, and visibility.

  • Project Management & Follow-Through: Demonstrated ability to manage multiple moving parts with attention to detail and deadlines. Ensures no ball is dropped in donor, board, or internal communications. 

  • Professional Judgment & Discretion: Handles sensitive and confidential information with tact and professionalism. Represents the Advancement team with credibility across the Museum community and externally. 

  • Relationship Building: Builds trust with donors, trustees, colleagues, and leadership through authenticity, responsiveness, and reliability. 

  • Exceptional Written & Verbal Communication: Crafts clear, polished, and donor-centered communications. Can adapt tone and style to different audiences, including senior leadership, trustees, and external partners. 

  • Initiative & Ownership: Anticipates needs and acts independently to move projects forward. Brings ideas and solutions rather than waiting for direction 

  • Team Orientation & Collaboration: Works seamlessly with colleagues across departments and levels. Sees Advancement’s success as a collective effort and contributes to a positive, mission-driven culture.

Salary Range

$70,000 - $80,000 USD
