What You'll Do:

In the Receptionist role, you’ll be responsible for providing professional and friendly clerical and administrative support in a fast-paced, high-volume lobby to ensure that services are provided in an effective and efficient manner, to support the mission of Interfaith Community Services.

  • Greet, assist, and direct clients, residents, and visitors with a smile and in a positive manner, directing individuals to the appropriate staff members
  • Maintains vigilance and awareness of all lobby activities to ensure client and staff safety, including restricting reception area access to authorized staff and individuals only. Organizes and directs basic needs services in collaboration with case managers and volunteers to ensure smooth and efficient client support
  • Serves as the main support for the organization, check-in, and data management of basic needs services
  • Organizes and tracks scheduling and communication with incoming partner organizations providing services onsite
  • Maintains updated documents for client files, ensuring accuracy and timely organization of required forms and records
  • Submits referrals in a timely manner and conducts yearly purges of outdated data and documentation to ensure accurate and up-to-date records
  • Maintains an accurate filing system for client files, mail, and all general correspondence
  • Performs timely and accurate data entry by verifying client information, resolving discrepancies, and entering data proficiently into organizational databases
  • Provides administrative support to all staff and programs as requested
  • Sorts and distributes client mail
  • Required to submit requested information in a timely manner to ensure efficient workflow and compliance with deadlines
  • Oversees and supports volunteers at the reception desk to ensure client information is handled with professionalism, accuracy, and in alignment with organizational standards and confidentiality policies
  • Other duties as assigned by the supervisor

Requirements

Who You Are:

You're passionate about making a lasting impact, whether supporting individuals directly or enhancing our organizational effectiveness. To thrive in this role, you'll:

  • 1+ year of relevant work experience, required
  • Experience managing high volumes of in-person visitor traffic and performing accurate data entry in a fast-paced environment,  preferred.
  • Bilingual (English/Spanish), required

  

SKILL SETS / ADDITIONAL REQUIREMENTS

  • Ability to establish and maintain professional boundaries with clients
  • Demonstrated ability to work independently with sound judgment, manage multiple priorities efficiently, and remain solution-focused and compassionate during high-pressure situations
  • Excellent written and verbal communication skills; able to communicate clearly across a diverse workforce and analyze and convey information effectively
  • Demonstrated experience working collaboratively in team settings and knowledge of community resources
  • Maintain a high degree of confidentiality regarding all client and employee matters
  • Work with a spirit of enthusiasm, teamwork, cooperation, and a sense of urgency
  • Proficiency in using computers and navigating Windows-based systems (Word, Excel, and Outlook) is required.
  • Must have reliable transportation.
  • Must successfully pass a criminal background check, exclusion/disbarment check, pre-employment physical, TB test, and drug screening

WORKING CONDITIONS / PHYSICAL REQUIREMENTS

  • Must be able to perform work in a climate-controlled office setting
  • May be subjected to adverse conditions, including contact from hostile people 
  • Exposure to contagious diseases (hepatitis, HIV, tuberculous, etc.)
  • Exposure to unpleasant and noxious fumes, odors, dust, temperatures, noise and inclement weather
  • Must have the physical ability to sit for long periods of time, stand, walk, bend, kneel and use hands, arms and legs for dexterity and balance on a frequent basis
  • Occasionally lifts, carries and balances objects weighing up to 30 pounds
  • Pulls and pushes such objects as file drawers, computers and similar office equipment and supplies
  • Prioritizes and multi-tasks work and projects requiring good memory, concentration and analytical thinking
  • Occasionally is required to perform the safe operation of a vehicle, office equipment and machines, and recognize and abate safety hazards within the workplace
  • Must be able to hear, see including distinction of colors, read and communicate verbally and in writing frequently with a wide range of people from divergent socio-economic backgrounds and origins
  • The noise level in the work environment is usually low

This is a temporary position for 90 days.

Location: On-Site, Escondido

Hourly Rate: $19.00-$20.00

Hours: Monday-Friday: 8am-5:00pm
