Job Description - Program Operations Coordinator


Location: Harrisburg, PA
Position Type: Mostly Remote
Hybrid Schedule: Onsite for equipment and as needed
Contract Length: Long-term with annual extensions


Position Overview:
This role seeks a highly organized administrative professional to facilitate and manage complex business approval requirements for supported agencies. The successful candidate will act as a dedicated liaison, streamlining a high-volume request backlog through proactive communication and meticulous process coordination.

Duties:
  • Requirements Gathering: Work directly with agency customers to document business requirements in alignment with established organizational policies.

  • Documentation Management: Prepare and submit comprehensive information packets to security, legal, and administrative approvers to ensure compliance.

  • Stakeholder Coordination: Facilitate meetings with diverse legal, business, and security teams to drive timely approvals of business requests.

  • Contractual Review: Interpret and provide input on contract agreements and other business-related contractual documentation.

  • Vendor Relations: Collaborate with vendors to communicate cloud use documentation and organizational requirements clearly.

  • Solution Research: Investigate existing internal solutions to determine if current resources can meet newly documented business needs.

  • Process Guidance: Serve as a subject matter expert, providing guidance to customers on the business approval lifecycle and underlying policies.

  • Backlog Management: Track and manage the current volume of requests to improve overall delivery efficiency.

  • Information Facilitation: Act as a central liaison to resolve requests for additional information throughout the approval process.

Required Skills:
  • 3 Years of full-time experience in a customer-facing role, demonstrating excellent communication and service skills.

  • 2 Years of full-time experience managing projects, program management, or process administration (official title of Project Manager not required).

  • 1 Year of experience in vendor management, specifically collaborating on requirements and documentation.

  • Leadership & Organization: Proven ability to lead stakeholders and maintain high levels of organization and detail in a fast-paced environment.
