The Services Coordinator is a dynamic role within NMS Health responsible for supporting all aspects of occupational health services for client employees nationwide. This individual must be adaptable and prepared to handle a wide range of responsibilities across their portfolio—including scheduling medical visits, collecting and reviewing medical records, and ensuring accurate and timely documentation in our system.
The ideal candidate thrives in a fast-paced, rapidly changing environment, demonstrates strong organizational skills, and communicates effectively with internal teams, clients, and medical providers. Success in this role requires exceptional attention to detail, multitasking ability, and perseverance in meeting daily deadlines.
Key Responsibilities
Scheduling & Coordination
Coordinate and schedule occupational medical exams, drug screens, vaccinations, bloodwork and other healthcare services with clinics, pharmacies, and labs nationwide.
Communicate directly with medical facilities to authorize procedures, confirm appointments, and ensure all paperwork is accurate and prepared in advance.
Troubleshoot scheduling conflicts and ensure client deadlines are met.
Medical Records & Documentation
Request, collect, and review medical records for accuracy, completeness, and compliance with clearance requirements.
Ensure records are appropriately stored, tracked, and uploaded into electronic systems in strict adherence to HIPAA regulations.
Document medical results and outcomes in the appropriate system, ensuring accuracy and timeliness of data entry.
Client & Team Communication
Provide clear, professional communication via phone and email to clinics, clients, and employees.
Serve as a reliable point of contact for updates, follow-ups, and issue resolution within assigned portfolio.
Collaborate with team members and leadership to ensure seamless service delivery.
Operational Support
Stay informed of upgrades and enhancements to systems and workflows to ensure maximum efficiency.
Support team members as needed to balance workload and ensure deadlines are met.
Core Qualifications
Proven ability to manage multiple priorities in a deadline-driven environment.
Strong organizational skills with attention to detail and accuracy.
Excellent verbal and written communication skills, with a friendly and professional phone manner.
Proficiency in Microsoft Office, Adobe Acrobat, and document management or cloud-based storage tools.
Comfortable navigating between multiple computer programs simultaneously.
Prior experience with medical records, occupational health services, or healthcare administration strongly preferred.
Customer service experience required; experience working with corporate clients or in occupational health a plus.
Special Requirements / Background
Knowledge of healthcare practices in illness prevention, screenings, and immunization schedules.
Exposure to clinical environments, preferably occupational medicine or family practice, a plus.
Ability to work independently while collaborating in a team-based, fast-paced environment.
