Description

POSITION SUMMARY 

This position provides administrative support to the Procurement Department and includes direct support to the Purchasing, Product Development, Inventory, and QA teams. Additionally, the position requires close communication with all other areas of the business, including but not limited to: Sales, Account Management, Customer Service, Sales Operations/Pricing, Quality Assurance, and Operations.

Job Responsibilites  

  • Places purchase orders for inventoried items, as directed by Procurement team managers. 
  • Places purchase orders for special and negotiated buys upon the direction of the Procurement team managers.
  • Updates weekly Purchase Order queue and maintains accurate ETD/ETA information in xTuple and Asana for all Open POs. Responsible for proactive communication with vendors and/or internal team members to understand ETD/ETA changes. 
  • Request freight with the Logistics Team as needed for FOB POs and oversee freight moves to ensure it meets budget expectations and ETA needs. Elevates as needed to management for approval. 
  • Provides Operations and Inventory staff with the Purchase Orders Due in (PODI) monthly report.
  • Keeps vendors and potential vendors’ information updated in xTuple and Supplier Matrix. Assists with the new vendor setup process. 
  • Assists in facilitating the recall process as needed, including communication with external vendors and the internal Recall team.
  • Assists Quality Assurance Team and Product Development Team with the organization and maintenance of the Vendor Sample Calendar. 
  • Assists Quality Assurance Team and Product Development Team with oversight of Supplier Compliance Matrix and record-keeping of vendor specification worksheets. 
  • Responsible for item number creation and maintenance in both xTuple and FileMaker. 
  • Provides administrative support as needed to Procurement team managers. 
  • Provides support and coverage assistance while Procurement team members are traveling (vendor visits, food shows, etc.). 
  • Problem Solving – Utilizes job knowledge to resolve problems and make suggestions for improvement and/or problem resolution. 
  • Perform various duties as determined necessary by management. 

Requirements

Qualifications

  • High school diploma required.
  • Minimum of 3 years’ experience working in an office environment. 
  • Experience in Microsoft Outlook, Word, and Excel required

The work environment in which one will typically perform the essential functions of this position is a climate-controlled office setting. It is well lit, and the noise level is moderate.


Salary Description

$22 - $26 per hour
