Job Description - Time Management Coordinator

We are seeking a detail-oriented and proactive Principal Time
Management Coordinator to join our Structural & Mechanical Maintenance Unit. Under the direct supervision of the
Chief Maintenance Supervisor and Supervising Office Assistant, you will be
responsible for managing a variety of administrative duties with a primary
focus on timekeeping and payroll support.

Key Responsibilities

·        Maintain timekeeping records, complete data
entry, and corrections in PeopleSoft.

·        Manage employee schedules and static group
updates.

·        Enter work orders and corresponding hours in
Maximo.

·        Generate time, labor, overtime, and comp time
reports.

·        Track and enter annual leave accruals, personal
and vacation day balances.

·        Monitor sick leave usage and process sick bank
conversions in accordance with union guidelines.

·        Submit temporary staff leave plan enrollments to
Human Resources monthly.

·        Review and process petty cash vouchers for
staff.

·        Track reimbursements for safety shoes and
eyewear purchases.

·        Process maintenance invoices using SAP and VIM
systems.

·        Provide cross-coverage and administrative
support to other clerical staff within the unit as needed.

Minimum Qualifications

·        A minimum of two (2) years of full-time
administrative work experience, including experience with timekeeping and
payroll systems.

·        Proficiency in Microsoft Office 365 (Word,
Excel, Outlook).

·        Strong organizational and multitasking skills
with attention to detail.

·        Ability to work independently and prioritize
tasks in a fast-paced environment.

Preferred Qualifications

·        Familiarity with PeopleSoft, , and SAP

·        Experience supporting unionized staff and
applying timekeeping policies.

·        Knowledge of administrative operations in a
maintenance or facilities environment.

·        Effective interpersonal and communication
skills, with the ability to interact across departments and organizational
levels.
