POSITION SUMMARY:

The Account Service Representative will serve as the subject matter expert to IPC’s customers from inception to completion of orders. This will include initiating and entering customer orders, responding to customer requests via email and over the phone, ensuring all information and documentation is accurate before moving to the next step of the process, resolving customer issues and working with various departments through the entire production process.



DUTIES AND RESPONSIBILITIES:



  • Serves as the liaison between customers, sales, and the production teams
  • Maintains responsibility for jobs from the specification stage through completion
  • Responds to customer inquiries and requests for quotes
  • Works closely with sales, order entry, leadership, scheduling, and production teams
  • Advises customers of alternative sources for production of orders which are not within Independent equipment capabilities
  • Familiarizes new customers with credit terms and works with Administration team to ensure customer has approved credit
  • Records job specifications received via telephone for printing jobs, reruns, or revisions
  • Reviews materials furnished by customers to determine accuracy and completeness. Contacts customers to clarify existing or obtain missing information so that order is not delayed
  • Notifies sales and customers of any deviation from original quote that may result in additional charges and documents changes on billing instruction sheet and forwards job to Estimating for requoting
  • Follows up on customer return of proofs and/or submission of art and copy in keeping with established schedule
  • Notifies Scheduling of any deviation from schedule
  • Relates the status of work in production, as well as other appropriate information, to sales personnel and customers upon request, and in a timely manner
  • Provides necessary data to ensure that customer invoice includes all appropriate charges or credits and documents relevant information in JDE


REQUIREMENTS:

  • Previous customer service experience with a demonstrated dedication to exceeding customer expectations
  • Excellent written and verbal communication, math and interpersonal skills
  • Creative problem-solving skills and the ability to resolve discrepancies and provide effective solutions
  • Well-honed time management skills and ability to prioritize multiple tasks in a fast-paced, demanding environment
  • Proficient in Microsoft Office suite (i.e., Outlook, Word and Excel)
  • A commitment to quality and process improvement
  • Previous experience to commercial offset printing processes and systems is strongly preferred

SCHEDULE:

Full-time, Hourly, Monday – Friday 8:00am – 4:00pm

STARTING WAGE:

This is an hourly position and beginning wage will be in line with experience.
