Department Information



This position within UA Financial Shared Services supports IU Research at Indiana University. IU Research is responsible for research development, research compliance, and research administration. Working with university-wide offices, campus leaders, and deans, the Vice President for Research Office works to increase and diversify research and creative activities at IU, attract external funding for these activities, and develop public-private partnerships, technology transfer, graduate education, and inter-campus research opportunities.

Job Summary



Department-Specific Responsibilities

  • Compiles data and prepares reports; reports will be a combo of monthly, quarterly, annual, and ad hoc.
  • Maintains records of financial transactions.
  • Investigates and resolves discrepancies that require more advanced knowledge and experience.
  • Recommends audits that follow policies and procedures.
  • Monitors group email account to manage updates to Research Commitments and Review and Confirm Commitment Documentation to ensure fiscal integrity of Commitment Entries and Transfers.
  • Manages quarterly and year-end (YE) duties including review of outstanding commitments, outstanding invoices, annual and open POs and process budget adjustments.
  • Responds to inquiries regarding financial policies and procedures including but not limited to Travel, Chrome River, Buy.IU, Purchasing, P-Cards, and Internal Research.
  • Takes lead on most complex cases within their scope of work.
  • Assists in special projects including, but not limited to audits and commitment related research.
  • May oversee or conduct processing of documents into the university's central information systems (KFS, HRMS, Chrome River, Buy.IU).
  • May provide administrative support to assigned areas and CIMs including financial transactions, purchase, travel, reconciliation, reconciliation, tracking, and other duties as assigned.

General Responsibilities

  • Using knowledge and application of accepted procedures and standards, performs financial and administrative tasks related to managing the daily and long-term financial and/or administrative operations of an organizational unit or an academic, research, and teaching department within a school or college.
  • Makes recommendations on policies and guidelines for division/department activities.
  • Monitors expenditures and statement of accounts to ensure regulatory compliance and fiscal integrity.
  • Manages general appropriation, endowment, federal and non-federal grants and contracts, and gift funds.
  • Develops, plans, and makes recommendations on special projects, which may include space allocations, staffing, equipment purchases, and long-range plans.
  • Prepares operating and project budget drafts independently and/or in coordination with other finance staff.
  • Regularly explains financial concepts to non-financial employees.
  • Monitors division/departmental budgets and resolves or recommends resolutions for any significant deviations from approved budgets.
  • May conduct a variety of human resources activities including employment, labor relations, benefits, training, and classification for unit/department.

EDUCATION

Required

  • Bachelor's degree in finance, business, or related field.

WORK EXPERIENCE

Preferred

  • Related experience.
  • Experience in higher-ed at Indiana University working with KFS, IUIE, Buy.IU, and Chrome River.

  • Intermediate accounting skills; ability to spot obvious errors; ability to develop a budget.
  • Demonstrated ability to interpret and apply concepts and policies to daily work functions.
  • Ability to clearly present material and make it accessible to a variety of audiences.
  • Ability to interpret financial documents from an accounting, policy, and practice perspective.

Preferred

  • Demonstrates understanding of IU Policies pertaining to purchasing/travel/pcards.
  • Strong attention to detail.
  • Ability to multi-task.
  • Demonstrates high level of organization.

Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Work Location



Bloomington, Indiana

This position is eligible to work a hybrid schedule (mix between remote and in-person work), subject to change based on university policy and business needs.

Advertised Salary



$45,000 - $50,000 per year depending upon qualifications.
