Responsibilities:
· Operational Support & Management
o Provide administrative support to DEO and advise DEO and all departmental personnel regarding new and existing UI policy/procedure in all areas affecting the department.
o Collaborate with the department head on daily operations, faculty assignments, and policy development.
o Support the Graduate Program Director in administrative tasks, liaising with Grad College personnel, coordinating teaching assignments, and assisting with student registration.
· HR Management
o Primary contact for transactional HR items, including FMLA, faculty review, and hiring process.
o Initiate all HR transactions.
o Coordinate faculty and staff search processes.
o Provide primary and functional supervision to designated staff members.
· Financial Management
o Oversee departmental finances, including budget development and monitoring.
o Manage faculty/staff accounts and procurement processes.
o Represent the department in financial meetings & consult with relevant stakeholders.
o Conduct monthly account reconciliation.
· Communications Management
o Represent the DEO and department to all entities.
o Develop communications within department and on behalf of DEO, Grad Program Director, and department.
Salary: $61,393 to commensurate (Pay Grade: 3B)
Schedule: Monday - Friday, 8:00am - 5:00pm
Work Location : On-Site
REQUIRED QUALIFICATIONS:
· Bachelor's degree in business administration or related field, or an equivalent combination of relevant education and relevant experience.
· Minimum of 1-year relevant administrative experience, including:
o Human resource experience
§ Leave management.
§ HR policy oversight, and
§ Confidential information
o Accounting
§ Budget management
§ Reporting, and
§ Reconciliations
o Proficiency in word processing, spreadsheets, calendaring, and presentation software (i.e. Microsoft/Google)
o Demonstrated high-level written and verbal communication skills.
o Strong customer service skills
o Demonstrated ability to work independently and apply critical thinking in decision making process.
o Excellent organizational skills, multi-tasking, and attention to detail; and
o Delegation and negotiation skills.
Desirable Qualifications:
· Working knowledge/experience with Iowa courses online (ICON).
· Working knowledge/experience with UI policies, procedures, and regulations including knowledge of:
o Electronic transmission systems (such as Purchasing, Accounts Payable, ProTrav, PCard, E-Pro, and MAUI)
o UI Graduate College admissions process, including international student admission procedures.
· Experience w/dental terminology, procedures, materials, etc.
· Some supervisory experience including performance management.
· Knowledge of:
o Dentistry
o Dentistry's Oral Health Information System, AxiUm or related software; and
o Dentistry clinic policies/procedures.
