Job Description - Administrative and Educational Support Coordinator

Position Title: Administrative and Educational Support Coordinator

Host Site: STEM Greenhouse

Position Type: Full time, 1700 hrs, 38-40 hrs/week

Site Supervisor: Mia Mahaney

Dates of Service: September 9, 2024 – August 15, 2025

Stipend: $26,000

CEDAM's AmeriCorps Information: CEDAM's AmeriCorps program connects local and statewide agencies to meet neighbors' critical needs. Members create community, build capacity and serve neighbors across Michigan. Our AmeriCorps program advances equity for Michiganders in two key ways 1. Cultivating the next generation of leaders in the community economic development field and 2. Supporting economic inclusion for Michiganders. 

Organizational Information

STEM Greenhouse is a nonprofit organization that fosters educational opportunities and nurtures talent in Science, Technology, Engineering, and Mathematics (STEM) among urban youth, particularly children of color and those in underresourced communities. We envision a diverse, globally competitive STEM community through equity in K-12 STEM education.

Role and Responsibilities:

  • Service Activities and Organizational Support (60%)
    • Administrative Support: Directly assist Founding Chief Executive Officer by managing scheduling, communications, and other administrative tasks to reduce administrative burden and enable greater focus on strategic initiatives that enhance organizational development.
    • Operational Support: Contribute to the office's overall efficiency by helping develop and implement standard operating procedures. This includes organizing files, managing data entry, and preparing reports to streamline operations.
    • System Development: Improve and maintain internal systems that support program logistics and tracking. This role is critical in ensuring that the organization's backbone is strong and responsive to the needs of its programs and staff.
  • Educational Support (20%)
    • Teaching Assistance: Actively assist in classrooms or after-school programs as a teacher's aide, providing support to lead educators by helping prepare materials, engaging with students, and facilitating educational activities.
    • Student Interaction: Engage directly with students, providing mentorship and support in STEM subjects, enhancing their learning experience, and fostering a supportive educational environment.
  • Programming Outreach (5%)
    • Community Engagement: Represent STEM Greenhouse at community events, school open houses, and other public events to raise awareness about our programs and mission.
    • Outreach Initiatives: Assist in creating and distributing marketing materials, including writing two articles to be published on LinkedIn and the STEM Greenhouse blog. These LinkedIn articles will engage a broader professional audience, showcasing thought leadership related to the opportunities found with national service and their service with AmeriCorps. 
  • Professional Development (15%)
    • Participate in CEDAM AmeriCorps monthly meetings, trainings, events, data collection, reporting, and other tasks as needed.
    • Participate in AmeriCorps & Michigan's AmeriCorps events and trainings.
    • Skill Enhancement: Participate in workshops, seminars, and training sessions that aim to enhance professional skills such as project management, leadership, and communication.
    • Networking: Utilize opportunities to meet and learn from professionals in the nonprofit, education, and STEM fields to build connections that could support future career advancements.

Preferred Q ualifications:

  1. Effective Communication and Digital Proficiency: Strong verbal and written communication skills, complemented by proficiency in digital tools such as email, Zoom, Google Docs, Slack, and Monday.com. This combination ensures adept handling of communications and efficient management of digital workspaces, with a detail-oriented approach that guarantees accuracy and clarity in all interactions.
  2. Collaboration and Adaptability: Exceptional ability to work collaboratively within diverse teams and adapt to the working styles of different leaders, including understanding and aligning with the executive director's approach. This skill is crucial for maintaining harmony and enhancing team productivity, underscored by a tenacious commitment to follow-through and consistent execution.
  3. Initiative and Problem-Solving: Ability to take initiative in project execution and problem-solving while competently seeking guidance when necessary. This balance is vital for driving projects forward, ensuring alignment with organizational goals, and meticulously completing tasks.
  4. Time Management and Project Coordination: Strong organizational skills enable effective time management and project coordination. These skills are essential for meeting deadlines and managing multiple tasks efficiently in a dynamic work environment. A tenacious focus on following up and meeting project milestones is also crucial.
  5. Passion for Education and Cultural Sensitivity: A commitment to educational excellence and meaningful community involvement underpinned by cultural sensitivity and a focus on personal learning and growth enables a deep understanding of diverse cultural contexts and our students' complex challenges. Comfort in working directly with youth is essential, as it enhances the ability to connect with and inspire students on a personal level. 

Minimum Qualifications:

  • Be at least 18 years of age. Applicants must have HS diploma, GED or working toward the completion of one.
  • U.S. citizen, U.S. national or lawful permanent resident of the U.S.
  • Pass the following National Service Criminal History Checks: State of Michigan background check, State of residency (if not Michigan), FBI Fingerprinting, and State & National Sex Offender Registry.
  • Valid Driver's License and Reliable Transportation.

Compensation: 

Members will receive a living allowance of $26,000 distributed in even increments, bi-weekly. Members will receive student loan forbearance for qualified loans, health care package, childcare assistance upon eligibility, and continual professional development. Upon successful completion of service, an education award of $7,395 will be issued. Members will serve 1,700 hours for the term = 40 hours/week.
