Job Description - Administrative assistant

Start your career in public service . The Georgia Department of Human Services (DHS),  Division of Family & Children Services (DFCS) is seeking candidates for the position of Administrative Assistant 3  This position is located in Columbus, Muscogee County, Georgia.

Pay Grade: H Under broad supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers. Primary Duties and Responsibilities

  • Manages routine administrative functions for the agency/office, such as travel expenses, car rentals, leases, vendors, contracts, telecommunications, building security, purchasing, billing/credit, inventory, property control, etc. 
  • Provides administrative support to assigned area.
  • Provides assistance and problem resolution to claimants, employers, staff, other agencies, and/or the general public.
  • Provides program, administrative, and/or technical assistance to customers and staff.
  • Researches and/or resolves program or client issues/questions and prepares documents. May represent the manager in various matters.
  • May serve as a lead worker.
  • May train subordinate staff in proper procedures of day to day operations.
  • Oversees some aspects of hiring for the region.
  • Provides administrative functions for the Director and the office.
  • Provides assistance and problem resolution to internal and external customers.
  • Liaison between county and regional office for tracking and monitoring various initiatives.
  • Create reports and spreadsheets as requested by Director.
  • Other duties as assigned by the Director.
Core competences
  • Ability to multi-task in a high functioning work environment.
  • Ability to adapt to various situations while to maintaining a professional demeanor.
  • Ability to display exceptional Customer service skills at all times.
  • Associate's degree from an accredited college or university AND  Two (2) years of related experience.

OR

  • Four years (4) of related experience.
Preferred Qualifications: Preference will be given to candidates who, in addition to meeting the minimum qualifications, demonstrate some or all of the following skills/experience:

 

  • Advanced knowledge of Microsoft Office Suite, especially Word, Excel, Publisher, SharePoint and Teams.
