Job Description - Administrative Assistant

Job Title: Administrative Assistant Job Summary: The Administrative Assistant is responsible for providing administrative support to ensure efficient operation of the office. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to work independently with minimal supervision. The Administrative Assistant will perform a wide range of administrative and office support tasks to facilitate the smooth functioning of the organization. Responsibilities:
  • Serve as the primary point of contact for internal and external stakeholders, including answering phone calls, responding to emails, and handling inquiries promptly and professionally.
  • Manage calendars, schedule appointments, and coordinate meetings and conference calls.
  • Prepare and distribute memos, reports, and correspondence.
  • Maintain and organize physical and electronic files and records.
  • Assist in the preparation of presentations, reports, and documents.
  • Arrange travel and accommodations for staff members and executives.
  • Coordinate and organize company events, including meetings, conferences, and team-building activities.
  • Assist with budget tracking and expense management.
  • Order and maintain office supplies and equipment.
  • Manage and update databases and contact lists.
  • Perform general clerical duties, such as photocopying, scanning, and filing.
  • Handle sensitive and confidential information with discretion.
  • Liaise with other departments and external partners to ensure smooth communication and collaboration.
  • Support the HR department with tasks such as onboarding new employees and maintaining personnel records.
  • Provide administrative support to executives as needed.
Qualifications:
  • High school diploma or equivalent; associate's or bachelor's degree is a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Attention to detail and accuracy.
  • Ability to multitask and prioritize tasks effectively.
  • Discretion and confidentiality.
  • Strong problem-solving skills.
  • Ability to work independently and as part of a team.
Requirements 
  • High school diploma or equivalent
  • Interpersonal communication, writing skills, and highly organized
  • At least 1 year of Customer Service experience
  • Ability to work independently with minimal supervision
