As part of our Shared Services group, comprised of Finance, Marketing, Communications, Human Resources, Commercial, Legal and Facilities, we support the business achieve their goals through a range of strong technical capabilities. We ensure delivery of services through the skills of our people, methodologies, and systems.

Hatch is seeking an Administrative Assistant in Tampa, FL to perform a wide variety of administrative support functions; apply detailed program knowledge in developing and/or maintaining program records systems and/or in collecting information, preparing reports and providing liaison between management, other organizational units, and external customers.

Principle Duties and Responsibilities:

  • Responsibility for all front door activities, receiving and processing deliveries, etc.
  • Answers phone and takes messages/checks voicemail.
  • Maintain office supplies inventory by checking inventory levels, anticipating needed supplies, ordering supplies, and verifying receipt of supplies.
  • Ensure operation of office equipment by scheduling preventive maintenance, calling for equipment repairs, and maintaining equipment supplies inventories.
  • Oversees the processing of outgoing packages and project related shipments, ensuring timely delivery.
  • Responsible for scheduling meetings.
  • Assures work is performed in a safe and professional manner by following established safety, operating, and emergency response procedures.
  • Prepares and submits expense reports when needed.
  • Plans company events such as social activities, dinners, and lunches as required.
  • Responsible for the organization and set-up and oversight of meetings or activities until completed.
  • Perform administrative functions such as document formatting, invoicing, filing. data entry etc.

Knowledge/Skill/Ability Requirements:

  • Associates Degree in Business Administration or related field
  • Highly proficient with Microsoft Office (Word, Excel, PowerPoint, Etc.).
  • Excellent communication skills and professional demeanor.
  • Ability to think independently in a professional setting.
  • Ability to balance various tasks and responsibilities simultaneously.
  • Excellent resourcefulness and ability to work independently with minimal supervision.
