The Brooklyn Division Administrative Assistant provides administrative support and client related services within our Brooklyn Limited Secure Placement (LSP) and Non-Secure Placement (NSP) that supports youth who have been adjudicated by the Family Court. Both LSP & NSP are part of a groundbreaking initiative to provide services and supports for juvenile justice involved youth in residential placement facilities closer to their families, communities, and schools.  The Brooklyn Division Administrative Assistant will work 35 hours per week total across both programs, however the position may include some flex time, which would include some evening and weekend work assignments.

  • Assists in the monitoring/executing of the contract compliance data requirements relative to the LSP & NSP programs.
  • Works directly with the program managers on the day-to-day program and facility operations such as creating fire drill schedules and facility inspection calendar, adding meetings and appointments to outlook calendars, ordering supplies, etc.
  • Implementation of all policies as pertains to each facility.
  • Maintains a high level of confidentiality regarding staff & youth information within the facilities.
  • Sends census information twice daily (weekends /holidays included) via email to ACS at required times
  • Schedules staff for trainings – manage the schedule for trainings and maintain training logs, individual supervision log – file supervision logs, staff meeting minutes, critical event logs, client surveys and other maintenance of logs.
  • Manages the petty cash and grocery funds; metro cards, and worker expense forms by overseeing the required paperwork and required signatures and forwarding to finance as outlined in the agency policies.
  • Purchases office supplies, furniture & beautification supplies; organizes supplies, shreds confidential documents. Archives all closed cases by logging, storing, and shipping closed cases to agency storage facility.
  • Coordinates the use of the conference room(s)
  • Checks/sorts/delivers/distributes departmental mail.
  • Submits all billing services to the appropriate departments for payment.
  • Enters all new youth into the database system on a timely basis and maintains movement updates until youth are placed onto aftercare.
  • Works closely with the team in assuring the incident reporting tracking system is updated as needed on a timely basis and as per program and agency policy, along with the facility inspection grid.
  • Keeps an updated staffing grid and ensures updated staffing information for each facility is forwarded to ACS according to the timelines set by policy.
  • Creates and maintains organized departmental filing system.
  • Performs hospitality tasks such as receiving visitors/clients and handles telephone calls/messages
  • Obtain their S95 and/or F07 certificates and any other fire safety certificates as required
  • Perform other duties as assigned. 
  • Orders and maintains all youth clothing and hygiene supplies; distributes supplies
  • Responsible for preparing meeting agendas, taking accurate meeting minutes & distributing minutes to appropriate stakeholders within required timeframes
  • Updating, maintain, distribute program documents
  • Responsible for creating NSP Core & LSP Core training binders as needed for training

Supervisory Responsibility

  • None

Physical Demands

  • The Administrative Assistant must be trained in Safe Crisis Management and be able to participate in physical safety interventions as necessary.

Position Type/Expected Hours of Work

  • Full time Nonexempt position, 35 hours per week

Travel

  • This position is based in 2 different sites and Brooklyn Division Administrative Assistant is required to split their time between both sites weekly.
  • On occasion, travel will be required for meetings, trainings, youth pick-ups, check pick-ups, visits, etc.

 

  • Associate degree or higher
  • Excellent verbal, written, and organization skills
  • Expert computer user; proficient in Microsoft Office. (Ability to pass a skills test to demonstrate level of proficiency.)
  • Bi-lingual (English/Spanish), preferred.
