Position Overview

The Division of Mental Health (DMH) is seeking to hire an Administrative Assistant to provide administrative support to the Deputy Director of Policy, Planning, and Innovation. The Administrative Assistant will assist with planning, scheduling, and hosting a variety of meetings and events to garner stakeholder input for development of strategic planning and initiatives, review and analyze confidential and general inquiries received by the Deputy Director of Policy, Planning, and Innovation from internal and external sources, coordinate communications and special projects for the Deputy Director of Policy, Planning, and Innovation. The successful candidate shall demonstrate exemplary organizational and communication skills, be a self-starter, and be able to carry out assignments with limited oversight in a timely manner.

Job Responsibilities

  1. Serves as administrative support to the Deputy Director of Policy, Planning, and Innovation.
  2. Performs liaison work as a representative of the Deputy Director of Policy, Planning, and Innovation within the Division of Mental Health (DMH), with public and private organizations or affiliations, and other governmental agencies.
  3. Serves as correspondence control manager for the Associate Deputy Director.
  4. Gathers data and writes reports on a variety of Bureau related functions for action by the Associate Deputy Director.
  5. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

 

Minimum Qualifications

  1. Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
  2. Requires one year of professional experience in a public or private organization, or completion of an agency approved professional management training program.

Preferred Qualifications

  1. Two (2) years of experience meeting deadlines with strong attention to detail while multi-tasking multiple projects.
  2. Two (2) years of experience working for a public or private organization, in a social or human services field, maintaining confidentiality and handling sensitive information with professionalism.
  3. Two (2) years of professional experience with personal computers and software, such as Microsoft Office, WebEx, etc.
  4. One (1) year of experience conducting special projects which include evaluating existing and proposed programs, policies, and procedures for a public or private organization.
  5. One (1) year of experience effectively communicating with both internal and external officials, providers and/or the public in oral and written form, such as newsletters and social media posts.
  6. One (1) year of experience working in an environment that encourages knowledge of respect for, and development of skills to engage with those of other cultures or backgrounds.

Conditions of Employment

  1. Requires travel in performance of duties.
  2. Requires ability to pass the IDHS background check.
  3. Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
  4. Requires ability to meet all agency vaccine/health-related policies and guidance.
