Job Description

To support administrative needs of the Distribution Center.

Responsibilities

  • Create spreadsheets and graphs regarding key business information in Excel for the Distribution Center Management team.
  • In-depth computer skills: demonstrated proficiency in Word and Excel. Understanding of warehouse information management systems, Access Database, and PowerPoint preferred.
  • Create, maintain, and post all productivity and departmental reports, graphs, and charts in a timely manner. Communicate with Leads, Supervisors and Managers to resolve issues related to reports as needed.
  • Manage and process all invoices in a timely manner and report using the purchase tracker.
  • Collect data for business reports from IRMS and FDM4. Review data for accuracy and unusual variances. Communicate any issues regarding the data with the management team prior to issuing reports.
  • Enter all data for employee productivity/metrics report in the MS access database.
  • Post and maintain information on employee/metrics information board.
  • Provide other administrative support to the Distribution Center Manager. Ability to work effectively with Distribution Center staff and other departments. Demonstrated ability to articulate issues and provide information on a timely basis.
  • Maintain discretion in the handling of sensitive information, which originates from Managers.
  • Order all supplies for facility. Ensure that enough critical supplies are always on hand to support the business.
  • Perform basic PM on fax and copier; call for service when needed.
  • Coordinate arrangements for management meetings and supports visitors.
  • Plan employee activities and assist Mangers/Supervisors to manages these events.
  • Makes travel arrangements for management staff such as booking flights, cars, and hotel or restaurant reservations.
  • Serve as a member of the Distribution Center team, helping with other tasks as needed.

Qualifications

  • Professional communication via phone, e-mail, and mail.
  • Excellent time management skills and ability to muti-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Strong knowledge of standard office equipment (fax machine, photo copier)
  • Positive, proactive approach to completing tasks.
  • Strong organizational and planning skills; must be able to prioritize and handle multiple tasks simultaneously.
  • High requirement for accuracy.
  • Able to sit/stand for long periods of time.
  • Flexibility with work schedule; available to work overtime.

Previous experience necessary:

  • High school diploma or equivalent; college degree preferred.
  • Administrative assistant experience.
  • Knowledge of appropriate software including Microsoft, Excel, Access, PowerPoint, Adobe Acrobat, and Outlook.
