12 Month Position Details: Summary of Duties: The Administrative Assistant for the Office of Graduate Medical Education (GME) will oversee and provide a wide range of diverse high-level administrative support to the Office of GME. This role will also support the WSU sponsored GME residency programs, hosted at partnering clinical facilities. The role serves as the liaison for both internal and external constituents pertaining to a variety of complex, sensitive and confidential unit issues. Duties may include but are not limited to, the day-to-day management of office support activities; budget preparation, maintenance and oversight; assistance with preparation of grants/contracts and goods/services procurement; coordinate travel arrangements; and coordination of special events or projects. The Administrative Assistant may represent the Office of GME on matters which require a high degree of tact, diplomacy, and confidentiality. Incumbent may be based at any location where programs are based such as Spokane, Pullman, Tri-Cities, Everett or Vancouver with preference for Spokane. Incumbent may be able to work in a hybrid/remote capacity based on mutual agreement with supervisor. Essential Job Functions: 40% Administrative Support 40% Operational Oversight 15% Special Projects 5% Other Required Qualifications: One year of experience as an Administrative Assistant 1 OR a Bachelor's degree in business administration, public administration, or closely allied field and two years of responsible office experience at the senior clerical level or higher. Clerical or office work experience may be substituted for education on a year-for-year basis. Graduate study may substitute for experience on a year for year basis. Additional Requirements:

  • Computer software skills, including the ability to use MS Office software, such as databases, spreadsheets, word processing, SharePoint and presentation software.
  • Demonstrated working knowledge of policies and procedures in a complex organization.
  • Works professionally and collaboratively across the Unit, Office, and College contributing to a positive working culture.
  • Demonstrated professional written and verbal communication skills.
  • Demonstrated organizational and project management skills.




Preferred Qualifications:

  • Demonstrated experience in handling confidential and sensitive information.
  • Experience providing administrative support to an individual or group of individuals at the executive, senior leadership, director, or manager level.
  • Experience in Graduate Medical Education, the healthcare industry, higher education or governmental industry.

Monthly Salary: Range #37 $3,145 to $4,174 A-M | Successful candidates typically begin at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28. Step M is a longevity step.
