Job Description - Administrative Assistant - Start Immediately

We are looking for a driven Administrative Assistant to join our all-star team at Solomon Page in New York, NY.

Our client, a multinational private equity and venture capital firm, is looking for a temp to perm Administrative Assistant to join their team. This position operates on a hybrid schedule out of their New York City office. Employees are offered medical, dental, vision, 401(k), and commuter benefits.
  • Pay: $38 per hour as temp, perm salary is 80-90k
  • Hours: 8:30am – 5:30pm with flexibility for OT
Responsibilities:
  • Provide administrative support to executives including but not limited to making travel arrangements, maintaining calendars, expenses, answering phones, presentations, and ad hoc project management
  • Organize and file / document all checks received, making sure all funds are accounted for and checks are processed on time
  • Ensure all invoices are paid on time
  • Download all invoices available online, and follow-up with all vendors for any invoices not received by their usual invoice date
  • Quarterly / annual cost review of our current vendors to ensure that we are receiving the best prices and if not, finding better options
  • Manage corporate cellphone accounts, including assisting team members with questions and upgrading cellphones
  • Manage day-to-day office operations and facilities management, liaise with building management and various outside vendors on all matters pertaining to physical office space (furniture, maintenance, security, HVAC, etc.)
  • Assist with ad hoc projects and team event planning
  • Greet guests promptly, offering beverage service, and showing them directly to the correct meeting room
  • Conference room maintenance and preparation before every meeting
  • Weekly inventory, ordering and stocking of kitchen, office and bathroom supplies
  • Handle the in and outgoing mail, as well as receiving packages and transmitting them promptly to the correct individual
  • Develop and maintain an awareness of, and act in accordance with Core Values and Group Standards both generally and as specifically set out in the Group Controls, Guide to Business Conduct and the Compliance and Departmental procedures manuals and the legal and regulatory environment in which company operates
