Our Administrative Assistant is responsible for the workflow of the department by performing administrative and clerical duties including database system maintenance, office supply purchasing, typing, filing, and telephone duties.
Bilingual candidates are highly encouraged to apply.
Education:
Experience:
General knowledge of office practices and procedures.
Computer skills with emphasis on spreadsheets and word processing.
Formal secretarial training and medical terminology knowledge desirable.
Licenses/Certifications
- Assists in daily business of managers which includes general office work, answering phones, typing letters, filing, sorting and distributing mails.
- Performs a variety of confidential and complex administrative duties for the department.
- Coordinates the efficient operation of the office by maintaining confidential and general files and manuals, ordering supplies, and performing all other relevant duties for senior management.
- Maintains and tracks a variety of records.
- Maintains a variety of manual files and other reports.
- Receives, sorts, and routes mail, and maintains and routes publications.
- Responsible for departments messages, reports, and indicator boards.
- Responsible for keeping calendars and scheduling appointments.
- Operates a computer system with a printer, copier, fax machine and other office machines.
- Must be able to apply principles of critical thinking to a variety of practical and emergent situations and accurately follow standardized procedures that may call for deviations.
- Must be able to apply sound judgment beyond a specific set of instructions and apply knowledge to different factual situations.
- Must be alert at all times; pay close attention to details.
- Must be able to work under stress on a regular or continuous basis.
- Perform other duties as assigned.
