We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.
Ultimately, a successful Admin & Accountant Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Provides administrative and accounting support to ensure efficient operation of office.
- Safeguard bank deposits, as well as post deposits until billing and time procedures are accomplished.
- Financial Statement Preparation and or compilation.
- Financial Statement Analysis.
- Reconciled daily payments received and prepared deposits for smooth office finances.
- Bookkeeping
- QuickBooks Consulting & Management.
- Used software to prepare documents, reports, and presentations.
- Payroll (Assist in handling monthly organizational payroll remittances, financial statements, and reports).
- Updated spreadsheets and databases to track, analyze, and report on performance and sales data.
- Sales Tax
- Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
- Handled confidential and sensitive information with discretion and tact.
- Makes travel arrangements for staff such as booking flights, cars, and hotel or restaurant reservations.
- Exhibits polite and professional communication via phone, e-mail, and mail.
- Supports team by performing tasks related to organization and strong communication.
- Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Provides information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Contributes to team effort by accomplishing related results as needed.
- Update and maintain office policies and procedures.
- Order office supplies and research new deals and suppliers.
- Maintain contact lists.
- Answers phone calls, schedules meetings and supports visitors.
Experience:
- Relevant: 2 years (Required)
- Beauty Supply Industry: Plus
Language:
- English and Spanish fluently (Required)
