Job Description:
50% - Executive administrative support
Maintain the five ATLAS associate directors calendars, monitor for and resolve conflicts
Complete all work-related travel arrangements through the University or third-party organization
Prepare and submit travel expense and p-card reporting
Complete sensitive and non-sensitive project requests
Prepare and analyze documents, presentations, and spreadsheets
Coordinate special projects on behalf of the five ATLAS associate directors including monitoring tasks, outcomes, and delivering feedback
Manage professional memberships
45% - Center-level financial responsibilities
Work with KU/KUCR procurement, AAI pre award, and KUCR contract teams
Support external RFI, RFP, and contract efforts for proposals/quotes with potential external customers and partners
Regularly monitor ongoing expenses and report on ATLASs financials to the Director and PIs
Support procurement (purchasing) efforts such as requests for proposals/quotes and vendor selections.
Assist ATLAS Principal Investigators with budget development for new proposals
Manage internal processes: gather and coordinate stakeholders, assure compliance with university processes and policies, and establish funding (payment) requirements
Work with ATLAS Business Manager to update staffing effort on appropriate projects

Required Qualifications:
High school diploma or GED equivalency and four years of relevant office experience OR four years of post-secondary education.
Proficiency with Microsoft Office Suite, SharePoint, and web conferencing tools as evidenced by application materials.
Strong written, verbal, and interpersonal communication skills, as evidenced in application materials and interview.

Preferred Qualifications:
Bachelors degree plus two years of relevant full-time work experience
Two years of experience successfully prioritizing multiple, detail-oriented, and sensitive, projects under tight deadlines.
Ability to successfully complete projects, independently and with minimal supervision, as evidenced in application materials and interview.
Proven ability to effectively collaborate with internal teams, cross-functional teams, and external partners.
Flexibility and willingness to adapt and respond to changes in work priorities and processes, as evidenced from prior work experience.
Excellent attention to detail in written work as evidenced by application materials.
Prior experience supporting executive staff.
Prior experience with financial responsibilities, proposal development, or marketing.

Accessible Teaching, Learning and Assessment Systems (ATLAS) promotes learning and improved outcomes for all students and their educators. ATLAS is seeking an Administrative Associate Senior to support the center associate directors, assist with contracts/procurement, and lead some center-wide initiatives. The Administrative Associate Senior will provide executive support for the five center associate directors; work with center contracts/procurement; lead special projects; and collaborate closely with the Business Manager on financial and operational practices. The successful candidate has a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, and to organize and maintain center-wide procedures.
